Position Overview:

The Warranty Administrator prepares, records, and reconciles warranty claims and submits them to the factory and distributors for defective parts.

The compensation for this position is $60,000- $70,000 annually based on experience and qualifications

What Qualifications We Are Looking For:

  • You work well independently and with a team when required.

  • You have demonstrated time management skills and can stay on track with competing priorities.
  • You have strong attention to detail.
  • You have 2 + years of Warranty experience required, Preferably Subaru Experience
  • You have practical communication skills, including verbal and written communication and nonverbal communication.
  • You can analyze and evaluate situations and outcomes.
  • You have proven problem-solving skills and can find ways to resolve issues effectively.

Essential Functions:

  • Reviews warranty dashboard on a daily/weekly basis.
  • Understands manufacturer's warranty and policy manual.
  • Reconcile all warranty receivables and work with the accounting department to obtain payments.
  • Provide a daily report to the service manager regarding claims status.
  • Stays abreast of all factory recalls announcements and procedures.
  • Processes all warranty repair orders and submits claims to the manufacturer on a timely basis.
  • Review all returned/rejected warranty claims and prepare the repair orders for immediate resubmission.
  • Pull daily claim report for review of paid claims.
  • Can read and understand technician workshop manuals.
  • Maintain all records of claims submitted, returned/rejected, paid and their current status.
  • Performs digital imaging when required for manufacture approval.
  • Ensures the dealership applies for Warranty rate increases in a timely and efficient manner with the manufacturer.
  • Submit all requested documentation to manufacture when requested.
  • Ensure that all deductibles are properly documented so they are collected from the customer at the time of repair completion/delivery.
  • Stays up to date on all prior approval limits/programs.
  • Establish and build positive relationships with the manufacturers designated warranty representatives and the representative of any aftermarket warranty company with which the dealership conducts business.
  • Keeps a detailed log of customer loyalty fund balance.
  • Work closely and effectively with the team of technicians, service writers, and supervisors.
  • Communicate with Service Advisors to define the scope of a warranty claims
  • Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its employees, or customers immediately.
  • Keep track of all services and customer records as required by the manufacturer.
  • Review every warranty repair order written for proper completion, accuracy, and legibility according to the applicable policies and procedure manuals.
  • Inspect all warranty paperwork to ensure proper documentation and to verify criteria.
  • Maintains warranty receivables schedule.
  • Input all applicable labor operation codes, failure codes, condition codes, and administrative data required on repair orders.
  • Stays up to date on all manufacturing warranty training.

Additional Requirements:

  • Ability to pass a pre-employment background check and drug screen for illegal substances
  • At least 18 years of age
  • Authorized to work in the United States
  • Minimum high school diploma or GED equivalent required
  • 2 + years of Warranty experience
