Job Description

Position Title: Secretary - Attendance

Department: AlmaMiddle School

Reports To: Principal

School Year: 2023-24

Contract: 190 Days

SUMMARY: Maintains attendance records and works to create a pleasant, helpful atmosphere for the staff, students, parents, and visitors.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

  • Makes and receives telephone calls, takes messages, and routes calls.
  • Works with Assistant Principal, Attendance Team, SRO, probation officer or police liaison officer on matters related to school attendance.
  • Responds to inquiries from students, teachers, parents, probation officers and other schools regarding attendance rules and absences and for the purpose of providing information and/or directions as may be required.
  • Types, prepares, distributes, and files a variety of reports and written materials (e.g. passes, standardized and special attendance reports, letters to parents, etc.) for the purpose of conveying information regarding school and/or district activities and procedures
  • Prepares verification forms for teachers for one-period absences.
  • Maintains regular attendance.
  • Maintains a variety of attendance records, schedules, and files (manual and computer) (e.g. contact and telephone logs, student attendance, school calendars, etc.) for the purpose of providing reliable information in compliance with district policies.
  • Maintains all incoming statements to the school nurse regarding doctors appointments.
  • Operates standard office equipment, e.g., computer (data entry), typewriter, telephone, calculator, and copy machines.
  • Enters all student attendance records into a computer on a daily basis.
  • Ensures accuracy of attendance records, including verification of forgeries and truancies for the purpose of complying with State laws governing attendance accounting.
  • Compiles and submits a variety of daily, weekly, monthly, and year-end reports as required.
  • Communicates with parents, students, staff, etc. in person, by telephone and letter for the purpose of providing information on a variety of attendance issues and meeting district and state absence notification requirements.
  • Oversees student sign out process and maintains records of student absence due to appointments.
  • Admits late students and maintains records of their tardiness.
  • Prepares computerized attendance sheets.
  • Processes documents and materials (e.g. attendance records, student placement, disciplinary and/or suspension notices, etc.) for the purpose of disseminating information to appropriate parties.
  • Assists Counselors with communication to parents of students who are having attendance and/or academic problems in school.
  • Maintains a list of students who leave campus for various reasons during the school day.

ABILITY TO:

  • Operate office machines.
  • Work calmly and efficiently under pressure, at times under high stress, with constant interruptions, strictly adhering to set policies and procedures.
  • Work cooperatively with others and use good judgment.
  • Accurately maintain records and prepare reports.
  • Attend in-service training, conferences and meetings, as assigned, with compensation if overtime is required.
  • Comply with and explain District policies and State regulations regarding student attendance.
  • Type 40 words per minute with speed and accuracy.
  • Accurately compile, review, verify, and record attendance data and generate reports.
  • Understand and follow oral and written instructions.
  • Assist callers and visitors to the attendance office.
  • Communicate effectively and interact appropriately with coworkers, students, parents, and the general public.
  • Enter data in computer quickly and accurately.
  • Plan, organize, and prioritize work to meet schedules and deadlines.
  • Make mathematical calculations quickly and accurately.

OTHER RESPONSIBILITIES:

  • Assists other personnel as may be required (e.g. School Secretary,AssistantPrincipal, teachers, etc.) for the purpose of supporting them in the completion of their work activities.
  • Administers first aid and medication to students under the direction of health professional for the purpose of meeting immediate health care needs.

SUPERVISORY RESPONSIBILITIES:

  • Share in selection and supervising student office aides.
  • Train student aides in office duties and procedures.

OTHER SKILLS AND ABILITIES:

  • Ability to perform duties with awareness of all related school policies and state requirements.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to develop effective working relationships with students, staff, and the school community.
