Job Description
The Associate Director of Athletics is an integral member of the leadership team and will report to the Associate Vice President (AVP) for Student Experience, Athletics, & Recreation at Alfred University. The Associate Director of Athletics will lead the internal daily functions and operations of the athletic department and manage NCAA compliance.


The Associate Director of Athletics responsibilities will include but are not limited to, supervision and leadership of staff, sport oversight, graduate assistant appointments, support of the recruitment and retention of student-athletes, facility management, internal operations, coordination of special events, and NCAA compliance management


Responsibilities
  • Monitor eligibility of student-athletes.
  • Oversee annual NCAA Division III rules test.
  • Coordinate facility maintenance, custodial needs, and facility work orders.
  • Educate student-athletes, AU staff, NCAA Faculty Athletic Representative, Saxon Nation Board of Directors, alumni, and other stakeholders regarding NCAA Division III rules.
  • Establish and maintain a positive relationship with community stakeholders.
  • Internal Operations:
  • Implement professional development plans for coaches to support student-athletes and program success.
  • Coordinate medical hardship case documentation.
  • Ensure building code compliance.
  • Develop and update compliance webpage(s) on GoSaxons.com.
  • Monitor and ensure declaration of playing and practice seasons.
  • Coordinate facility rental policies, procedures, and fee structure.
  • Head Coach/Support Staff Supervision and Sport Oversight:
  • In the absence of the AVP for Student Experience, Athletics, & Recreation, serve as the lead on all internal matters relative to intercollegiate athletics and recreation.
  • Conduct annual NCAA compliance meetings with each team and ensure required forms are completed.
  • Assist with department initiatives.
  • Direct student-athletes, coaches, and support staff to conduct themselves in such ways that bring credit to the department and Alfred University
  • Plan and implement staff professional development.
  • Provide monthly rules education to athletics, financial aid, admissions, and advancement staff.
  • Complete annual NCAA reports (e.g., Demographics Report, Sports Sponsorship).
  • Serve as the Tournament Director for NCAA and conference post-season championships.
  • Develop and review annual compliance information to include in the staff and student-athlete handbooks.
  • Ensure efficient game management operations, policies, and procedures that provide a safe and welcoming experience for all participants, officials, and spectators.
  • This person may serve as the Senior Woman Administrator.
  • Other responsibilities:
  • Assist in the hiring, evaluating, mentoring, and supervision of department personnel including assigned sport head coaches, athletic facility managers, and fitness center manager.
  • Provide rule interpretations for staff.
  • Coordinate and collect AU competition schedules and issue contest contracts to opponents.
  • Guide and assist staff with goal setting, budget planning, team travel, alumni relations, and other aspects of program management.
  • Maintain active membership in professional athletic organizations.
  • Attend and oversee home contests.
  • Maintain a safe work environment within and around facilities and associated equipment.
  • Facility Management:
  • Reinforce academic success as a priority.
  • Conduct semi-annual facility evaluations with facilities and grounds staff.
  • Represent the department on campus committees.
  • Assist with department assessments and strategic planning.
  • Implement and evaluate consistent policies and procedures that assure sport program continuity and equity.
  • Ensure the annual update and distribution of the staff and student-athlete handbooks.
  • Oversight of athletic facility operations and schedule.
  • Oversee the hiring process, orientation, and evaluation of department graduate assistants and student work study staff.
  • Maintain active membership in professional athletic organizations.
  • Oversee comprehensive NCAA compliance program.
  • Lead the on-boarding process for all new department employees.

  • Plan and coordinate all department special events (e.g., Hall of Fame, The Alfy’s, AU Golf Classic)
  • Participate in professional development seminars.
  • Assist in the recruitment and retention of student-athletes and mentor coaches to aid in reaching goals.


Qualifications
  • Additional Knowledge/Skills:
  • Competence with technology resources and a current U.S. driver’s license are vital to fulfilling the responsibilities of this position. The candidate must be willing to work nights and weekends.
  • Experience: A minimum of five years of progressively responsible work in collegiate athletic leadership positions at the NCAA Division III level is required. Must have supervisory experience.
  • Formal Education: Bachelor’s degree in sport management or related field is required. Master’s degree is preferred.
  • Must have a commitment to teamwork.
  • Must be able to independently organize, prioritize, and carry-out detailed procedures with minimal supervision. Knowledge of NCAA Division III rules is required.
  • Integrity, high ethical standards, excellent interpersonal, oral, and written communication skills, initiative, and resourcefulness are essential.
  • Proven organizational and management skills as well as a recognizable commitment to student growth and academic achievement.


Other Information


This is a full-time, 12-month, benefits-eligible administrative position. This position description is not all-inclusive, as other tasks or responsibilities may be assigned. The supervisor for this position is the Associate Vice President for Student Experience, Athletics and Recreation.
