Job Description
UTA is seeking a Gallery Assistant in our Los Angeles office. The Gallery Assistant is responsible for assisting the Fine Arts Executive in the management and supervision of UTA’s Los Angeles Artist Space. The Gallery assistant provides administrative support to the team and handles phone traffic, prepare purchase orders and coordinate events and exhibits.
UTA Fine Art’s department is the agency’s expert on the world of Art. The team works with contemporary artists whose work intersects with entertainment, media, and culture. UTA Artist Space is an extension of United Talent Agency’s commitment to the Los Angeles arts scene as much as it is a venue for showcasing global talent and new work. The new venue continues UTA’s history of helping artists gain access to new and better opportunities; it solidifies UTA’s reputation as a forward-thinking agency devoted to expanding and redefining the role of talent and literary agencies globally.
What You Will Do
  • Maintain the gallery’s mailing list, website and overseeing social media channels.
  • Organize travel and accommodations for executives and artists (e.g., hotels, flight reservations, itineraries).
  • Serve as the “face of the gallery” when greeting visitors and clients
  • Coordinate shipping of all outbound artworks to collectors: liaising with shipping companies, gathering quotes, discussing shipping logistics with framers, etc, updating databases.
  • Assist with administrative tasks such as expense reports, managing communications with gallery artists and studios.
  • Assist with coordinating exhibitions by organizing consignments and loans, tracking production, and communicating with framers and other production-related vendors.
  • Coordinate events surrounding openings, talks, & after party celebrations.
  • Provide sales support by creating and updating exhibition sales materials, assisting with organizing viewings with clients, and assisting gallery visitors.
  • Assist team members with exhibition preparation, gallery preparedness and managing general inbox requests.
  • Manage gallery calendar, including events and openings.
  • Coordinate meetings, track and confirm post-sales logistics, and provide administrative support for loans and consignments.
  • Answer/direct phone calls and take messages.
What You Will Need
  • Ability to remain calm in stressful situations
  • Available to work occasional evenings and weekends
  • Proficiency in Microsoft Office programs as well as InDesign, Photoshop, ArtLogic and Mailchimp
  • Demonstrated ability to multi-task and prioritize, both while working independently and with a team
  • Bachelor’s degree in fine arts, art history or arts administration strongly preferred
  • Strong organizational and troubleshooting skills
  • Strong follow-up skills with attention to detail
  • Strong organizational, analytical, and troubleshooting skills
  • Excellent communication and interpersonal skills, including superior written and spoken communication
  • 1+ years of administrative experience in museum or gallery setting preferred. Knowledge of art history a plus
