Position Purpose –
Working under the direction of the Senior Associate Athletic Director for Advancement, and as a member of the Intercollegiate Athletics (ICA) development team, coordinate, organize, facilitate, and manage the ICA annual fund staff and all annual fund campaigns. The Assistant Athletic Director for Advancement is charged with maximizing revenues from all annual fundraising initiatives with the goal of retaining and growing Tyee Club members through seat-related, programmatic support and athletic scholarship gifts.
The Assistant Athletic Director for Advancement evaluates overall strategies for annual giving, promotes a culture supportive of ICA’s strategic plan and core values, and recommends policies and procedures designed to enhance the student-athlete and donor experience.
This position has oversight of all annual fundraising programs and supervises annual fund and team support staff. Engage, train and lead philanthropy officers with respect to annual and mid-level major gifts. Annual giving is defined as gifts up to $50,000.
Responsible for developing a comprehensive plan for renewing seat-related donors through traditional annual solicitation programs while also working to improve online giving mechanisms and efficiencies for these processes. Identify new cultivation strategies for future Tyee Club contributors to seat-related, programmatic support and athletic scholarship gifts.
Work closely with members of the Ticket Office and Sales, Service and Retention teams to develop a comprehensive plan around new seat-related giving strategies to the Tyee Club in coordination with annual fund growth efforts, and provide monthly reports and measurement of these goals. Constructively integrate and foster working relationships with the UW central development office, current members of the ICA development team, coaching staff, and volunteers to synchronize annual solicitation mailings.
Annual Giving Responsibilities
Manage annual fundraising with concentration on the development of strategies for all areas of philanthropic support. This includes department wide strategies for Competitive Edge Fund campaigns, crowdfunding, student calling programs, team support solicitations and new initiatives in collaboration with UW Advancement Annual Giving.
Direct the ICA annual giving team to implement strategies for achieving annual fundraising goals and broaden the base of donor support; contributing to the long range goals for annual donors becoming major and planned giving supporters.
Manage, direct, train, and evaluate staff involved in annual giving. Make hiring and personnel decisions. Develop an annual operating plan. Develop reports that analyze and report progress in all key areas.
In consultation with the Senior Associate Athletic Director for Advancement, set annual operating plan performance goals and report to the Senior Associate AD progress toward goals, challenges and successes.
Collaborate to develop annual strategic plan for execution of all annual campaings to align with Advancement Operations Plan for optimal success and revenue generation.
Work with the Assistant Athletic Director for Stewardship and Donor Engagement to track and facilitate annual fund stewardship plan for Tyee Club donors.
Provide oversight of Team Support solicitation and programming staff.
Create and develop customer service processes for the Tyee Club annual giving team and graduate assistants.
Donor Seating Programs
Coordinate strategies with Ticket Operations for seating reallocations for football and men’s basketball, including the use of integrated selection software Ballena and Paciolan for online selections. Effectively manage and oversee the relationship for donor relationship software, ensuring both central development information and ticket office data are appropriately integrated into the Tyee Club data program.
Work to develop and maintain open cultiavtion strategies to optimize revenue with Sales, Service and Rentention team members and campus fundraisers.
Oversee all aspects of Husky Stadium premium seating areas including luxury, patio and Touchdown Terrace suites as well as the 3,000 person capacity Club Husky. Create and direct strategies for sales, renewals, upgrades, seat allocation and service for all of these areas.
Create and direct strategies for sales, renewals, upgrades and seat allocation for the Don James Center, Husky Stadium’s most high profile club experience.
Actively manage the Tyee Club Priority Point programs. Oversee policy, recommending change as necessary and enforce rules related to the priority point and rank system.
Consult Husky Ticket office with football and basketball parking assignments and distribution. Manage all donor parking.
Major Gift Work
Manage a portfolio of 50 major gift prospects, in coordination with Senior Associate Athletic Director for Advancement; establish and maintain metrics, contacts, solicitations and gifts closed each year.
Volunteer Engagement and Other Duties as Assigned
Work closely with oversee the volunteer Tyee Club Sports Council, a voluntary advisory board for Husky Athletics.
Compliance with the rules and regulations of the University, the NCAA, the Pac-12 Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
Minimum Requirements
Bachelor's degree and five or more years of progressively responsible experience in athletic administration, alumni relations, fundraising, program development, education, coaching or student affairs. Equivalent combination of education and experience will be considered.
Demonstrated success in leading annual fundraising campaign initiatives, including solicitations and stewarding donors. Ability to perform job requirements via work experience in related fields. Experience in athletic fundraising is highly desirable.
Ability to oversee staff and work effectively with volunteers, be a self-motivated self-starter, and work independently. Demonstrated ability to exercise sound judgment and handle sensitive and confidential information with discretion and according to FERPA regulations.
Outstanding communication skills both oral and written, including skill in writing memos and reports. Strong organizational and time management skills and the ability to work under pressure. Ability to interact diplomatically with individuals of various social, cultural, economic, and educational backgrounds. Ability to establish working relationships and interact collaboratively and effectively with other staff, student-athletes, coaches, administrators, and the university community.
Willingness to work night and weekend hours as needed.
