Job Description
JOB/POSITION TITLE : Assistant Admissions Manager STATUS : Non-Exempt PRIMARY PURPOSE : In partnership with the Admissions Manager, the Assistant Manager is dedicated to leading the team towards high-level customer service and people care at all times. Supports the Admissions team with leadership of admissions programs and services and Hawaiian Humane programs facilitated within Admissions. Responsible for the admissions counseling process, including surrender prevention and compassionate care of people accessing Hawaiian Humane services. Responsible for the daily care of animals and movement of animals to ensure humane housing and care. Reports To : Admissions Manager Supervises : Admissions Representatives and Volunteers ESSENTIAL DUTIES/FUNCTIONS : People Care. Leading by example, ensuring internal and external patrons (employees, volunteers, Hawaiian Humane partners and community members) and their needs are a primary focus. Communication and contact must be clear, understandable, cooperative, professional and respectful in all circumstances and will occur through face to face, telephone, and electronic mail. Employees are expected to actively support a positive team environment, directly address conflict with the goal of problem solving and appropriately express concerns. This position interacts with and collaborates with employees and volunteers at all levels of the organization. Customer Care. Deliver high-level customer service to Hawaiian Humane community members via the Admissions Center including, but not limited to, animal admissions, adoption follow up appointments, foster volunteer appointments, transfer animal or partner interactions and lost & found community support. Manage emotionally difficult situations with strong communication skills and empathy. Ensure the highest level of people care is delivered to Hawaiian Humane patrons, staff, volunteers, partners, donors, and vendors. Ensure patron experiences are always compassionate. Communicate with a diverse population in a consistently informative, confident, respectful and professional manner. Assist with escalated patron issues when required. Admissions Program Development & Leadership. Support the leadership and adherence to Admissions functions including intake and evaluations processes to ensure the highest level of care is delivered to Hawaiian Humane patrons and sheltered animals. Support the design, development and implementation of department standards, SOPs, systems and procedures for accomplishing work. Support the development and fulfillment of ambitious departmental objectives and plans including improving return to home strategies and data collection, finder foster programs (kitten kits), spay/neuter return programs and other industry leading practices to increase live outcomes. Team Leadership. Support the leadership and oversight of day-to-day team member activities including but not limited to hiring, training, coaching, development and retention to assure the highest standard of performance and professionalism. Manage daily operations by integrating volunteers. Ensure that roles and responsibilities are understood and carried out. Foster achievement of a common vision within and across teams. Animal Admissions. Leads and works with team members to provide daily animal relinquishment and stray intake services. Work with patrons to gather information to create animal records in the PetPoint database. Safely handle, restrain, and move animals. Administer vaccinations, microchips and preventative medications. Facilitate animal evaluations to assess health and behavior. Provide end-of-life services for animals at their owner's request. Lost & Found. Leads and works with team members to assist community members with lost and found animals and works towards reunions. Posts and updates all photos of lost & found animals to the shelter database and prioritizes reunifications. Animal Care Management. Works with the team and cross departmentally to expedite urgent care of sick, suffering or injured animals. Works with multiple departments to ensure efficient movement of animals through the shelter system. Identify immediate medical and behavioral needs in order to support best outcomes for animals in care. Admissions Center Care & Maintenance. Ensures a clean, organized and welcoming admissions center including lobby areas, walkways, animal enclosures and any areas as needed back of house. Ensures donations received through Admissions are distributed to designated areas throughout the day. Assists the Admissions team to order and track supply usage within the department as needed. Financial Reports. Daily cash handling protocols. Prepare and reconcile statements of daily financial transactions and deposits. OTHER DUTIES/FUNCTIONS : Operations Support. Provides support within the Operations division when needed. Perform euthanasia and euthanasia related tasks. May include vehicle training for animal transport and supporting Field Services team members with onsite assessment, dispatching of officers for emergencies when appropriate based on Hawaiian Humane protocol. Other Duties as Assigned. May include organization-wide support as needed such as but not limited to participation in events, fundraising, and Hawaiian Humane's role as a first responder to disasters. JOB CONDITIONS : Work Environment : Indoors and outdoors as needed. Equipment Use : Computer, database, and telephone systems. Use of all sheltering related animal equipment including tools for containing animals humanely, safely, and securely. Shelter related medical equipment and tools for administering vaccines humanely and safely. Use of Hawaiian Humane Vehicles. Hours : Based on operational requirements. Shift times are scheduled to support organizational needs and may include evenings, weekends and holidays. MENTAL, PHYSICAL AND COMMUNICATION DEMANDS : Must be able to maintain professionalism, composure, and compassion in emotionally charged situations and able to resolve conflicts effectively. Must be able to handle and restrain animals of various sizes, weights, and temperaments in a caring, safe, and respectful manner. Subject to animal bites or scratches. Work performed in high noise level areas. Exposure to cleaning solutions, fumes, dust, animal dander and bodily fluids. Physical efforts require constant bending, stooping, standing, climbing stairs, and walking. Frequent lifting of animals and objects with or without reasonable accommodation. Perform shelter opening and closing duties as needed. Perform euthanasia and related tasks. QUALIFICATION REQUIREMENTS : Skills/Knowledge : Excellent customer service skills including verbal, written and computer skills. Must be able to competently perform cash, computer and paperwork transactions. Must be willing to drive company vehicles including animal transport trucks. Must pass a driving background check with a valid driver's license and acceptable driving record according to organizational policy. Education/Training : High school diploma or equivalent. Experience : One year of customer service experience and professional experience in animal welfare/working with animals. Experience with developing and delivering staff training.
