Class Definition

GENERAL STATEMENT OF DUTIES: Within the Division of Sheriffs to perform various clerical work of a difficult and responsible nature, and which requires the exercise of independent judgment in following clearly prescribed procedures. Perform various clerical work of a difficult and responsible nature, in any of the courthouses / commands deemed necessary by the Chief Sheriff.

SUPERVISION RECEIVED: Works under the Chief Sheriff or designee who reviews work for conformance to established procedures and regulations.

SUPERVISION EXERCISED: None

Illustrative Examples of Work Performed

  • To do related work as required by the Chief Sheriff or other supervisory staff.
  • To operate office equipment such as computers, scanners, fax machines, calculators and adding machines, as required, in the performance of clerical duties under conditions requiring skilled operations of such equipment;
  • To assist the public in the preparation of forms or records;
  • To be responsible for records management of all documents incoming to and outgoing from the Division of Sheriffs;
  • To perform various clerical work of a difficult and responsible nature and which requires the exercise of independent judgment in following clearly prescribed procedures;
  • To be responsible for the labeling and processing of all writs of return to the public on time.
  • To gather and process civil process paperwork, and organize in correct order for civil process deputy sheriffs;
  • To perform receptionist duties such as receiving visitors, giving them routine or non-technical nature, answering phones, or referring them to proper persons for requested information;
  • To perform data entry of civil process documents in excel spreadsheets and IMC (internal records management system);
  • To be responsible for money orders and checks received by the Division of Sheriffs as payment for civil process;

Required Qualifications for Appointment

KNOWLEDGES, SKILLS AND CAPACITIES:
A thorough knowledge of the civil writs process, office methods, practices, procedures and terms; the ability to perform complex data entry/word processing functions with reasonable speed and accuracy; the ability to generate reports, documents, letters and other materials using appropriate software applications; the ability to exercise a high degree of initiative and judgement; the ability to understand and follow complex written or oral instructions; and related capacities and abilities.

EDUCATION AND EXPERIENCE:
Education: Such as may have been gained through: graduation from a senior high school, including or supplemented by course typing, word processing and business practices; and
Experience: Such as may have been gained through: employment in a responsible secretarial position including difficult or complex clerical duties and the independent handling of important but minor administrative details, including the processing of civil writs.
