Purpose of the Role

The Analyst provides administrative support to the Finance and Operations teams. You will ensure a safe, professional and welcoming environment for our staff and visitors by ensuring that all safety procedures are followed, staff are equipped with the proper supplies to do their work effectively, and that Foundation staff and guests have a positive workplace experience.


Core Job Responsibilities

  • Meeting Correspondence: Draft meeting agendas and disseminate to the appropriate team members prior to the meeting. Draft, edit, and submit error-free materials for external meetings.
  • Manage Freshdesk, the Foundation’s customer support ticketing system.
  • Provide support to the Office Managers regarding security procedures and emergency preparedness.
  • Information Management: Collect and disseminate all materials necessary for the teams to participate fully in internal and external meetings.
  • Customer Service: Ensure that all stakeholders - internal and external - who have contact with the teams experience warm and efficient customer service.
  • Research: Conduct research projects, as needed.
  • Administrative Support

  • Assist the Office Manager with supply management, procurement, and vendor scheduling. Keep our pantry and office supply areas stocked and free of clutter.
  • Work with building security to ensure that all guests are checked into our guest registration system and staff are promptly notified upon their arrival.
  • Calendar Management: Manage calendars for members of the Finance team, including the CFO.
  • Office Security
  • Coordinate conference room reservations and assist with onsite meeting set-ups on an as needed basis.
  • Staff Support
  • Organize and distribute Foundation mail and packages.
  • Act as primary contact for staff questions on booking travel.
  • Project Coordination: For select projects or meetings, track next steps and ensure completion.
  • Create and supply office badges to staff and visitors.


Key Deliverables / Outcomes

  • Foundation staff and visitors have a positive workplace experience.
  • Timely / Accurate Expense Reimbursements.
  • Support tickets are answered and/or routed in a timely manner.
  • Project Tracking Reports.
  • Complete all administrative support work/projects on time and with exceptional attention to detail accuracy.
  • Pantry items and office supplies are easily accessible, well stocked, and ordered in a timely manner.
  • Background Research Reports.
  • Trained in Foundation security protocols and support is provided to the Chicago office manager should an emergency arise.
  • Conference rooms are set-up with necessary supplies and staff feel that they have an efficient and accommodating work environment.
  • Meeting Agenda and Minutes.


Required Qualifications

  • Intermediate computer skills and a willingness to learn facilities management.
  • Attention to detail and strong organizational skills.
  • Exceptional communication – written and verbal.
  • Communicates proactively and collaborates effectively with others to achieve objectives and meet deadlines.
  • Strong prioritization skills to effectively juggle short-term and long-term tasks and responsibilities in an entrepreneurial, fast-paced environment.
  • Experience with Slack, GSuite, customer support ticketing systems, and travel management systems are a plus.
  • Exceptional project manager – effectively plans and executes short- and long-term projects.
  • Experience in reception, hospitality, customer service, or related fields.


The salary range for this role is between $48,750 and $81,250.
