Job Description

The Veterans’ Home in Holyoke is seeking a dynamic and enthusiastic individual to coordinate the admissions process for prospective veteran residents. The selected candidate will provide superior customer service to all they encounter to include veterans, their families, and the general public. This role works collaboratively with interdisciplinary teams and colleagues to facilitate appropriate admissions in an efficient manner. Responsible for maintaining appropriate record keeping while working both independently and collaboratively in a fast-paced work environment.

Duties and Responsibilities (these duties are a general summary and not all inclusive) –

  • Coordinates the admissions office processes, identifies opportunities for workflow improvement, customer questions and related activities
  • Maintains admissions policies and procedures, including the pre-admission packet
  • Ensures VA paperwork is submitted on time, in its entirety, and is up to date with VA, Medicare, and State administrative requirements
  • Maintains and updates the application database
  • Coaches and develops any direct report(s)
  • Ensures the pre-admission process is fair and consistent, ensures all necessary paperwork and meetings are completed prior to admittance
  • Leads facility tours to applicants and their families

SCHEDULE:

  • This is a full-time (37.5 hours/week) position working Monday through Friday from 8:00 am – 4:00 pm
  • Note: This is facility operates 24 hour/7 days a week. The Veterans’ Home in Holyoke may require this individual to be present during nontraditional hours to include evenings, weekends, and holidays when circumstances dictate the operational need

REQUIRED QUALIFICATIONS -

  • Proficient in Microsoft Office to include Word, Excel and Outlook
  • Ability to maintain accurate records
  • Ability to analyze and determine the applicability of data, to draw conclusions and make appropriate recommendations
  • Ability to work with the geriatric and memory-impaired populations
  • Ability to communicate both written and orally in a precise, understandable manner
  • Ability to deal tactfully with others

PREFERRED QUALIFICATIONS -

  • Ability to work in a team setting and as a part of an interdisciplinary team
  • Experience working in a long-term care healthcare setting

Qualifications

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:
I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.*

II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.*

III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

  • Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
