- Run reports to verify accuracy of client information and staff schedules
- Prepare and process new client intake paperwork and assist with scheduled intakes
- Identify opportunities for process and office management improvements, and design and implement new systems
- Collect and reconcile cash/credit card co-pays and service fees from clients upon registration
- Perform skilled keyboarding and accurate data entry in a fully integrated electronic medical record system
- Responsible for in-person and phone support; providing information regarding treatment services and general inquires and connecting to the appropriate source
- Utilize electronic medical record to assist clients and staff with scheduled appointments
- Make daily appointment reminders and/or no show follow up via phone and/or email
- Provide general administrative support for the program including filing, typing, copying, data entry and faxing in a prompt, efficient and cooperative manner
- Min of HS diploma or GED
- Min two years of experience in front office, customer service or related field. Behavioral health experience a plus
- None required
- Commitment to strong customer service focus rooted in empathy
- Ability to interact effectively with persons of widely diverse roles, backgrounds, cultures, and socio-economic classes, those in crises or resistant or negative toward organization
- Professional interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
- Excellent time management and prioritization skills to handle and manage high volume of calls
- Demonstrated ability and willingness to learn, strong attention to detail, positive attitude and ability to be flexible and embrace change in a fast-paced environment
- Organizational skills to prioritize workload and meet deadlines, develop and carry-out project assignments in an efficient and timely manner and to provide accurate and succinct documentation of activities.
- Highly organized and detail-oriented
- Ability to use an electronic medical record system
- Comfortable with MS Office Suite and windows-based applications
