Description: The College of Arts and Sciences (CAS) seeks an Administrative Associate to provide essential administrative and clerical support for three divisional deans. This position will provide support in customer service, managing the calendars and appointments for all divisional deans, projects that are assigned by each divisional dean, and data management. This position will complete diversified tasks in a complex and fast-paced environment.

Responsibilities


  • Perform administrative duties with wide latitude for exercising discretion and judgment, including identifying and resolving problems that would not require the direct involvement of the divisional deans.
  • Provides backup support to HR team for personnel transactions, as needed.
  • Manage calendars for all three divisional deans by acting as the point of contact for scheduling and managing activities/appointments, locating and reserving appropriate space and technology, RSVPs and attendee needs.
  • Welcome guests and establish/maintain relationships with key external parties by providing excellent customer service, answering questions via telephone, email and in-person department inquiries from students, staff, faculty, and others as appropriate.
  • Provides backup support to Financial team for travel processing, as needed.
  • Provides meeting support to divisional deans by scheduling meetings, reserving meeting rooms or setting up Zoom/conference calls, preparing agendas, communicating with attendees, attending, taking notes, and providing follow-up administrative work.
  • Maintains lists and rosters, prepares documents, and performs project work assigned by the divisional deans.
  • HR and Financial support
  • Uses judgment and independence to make changes to the schedule and matters of the divisional deans.
  • Provides backup support to Financial team for invoice processing, as needed.


Qualifications


Required


  • High School diploma and 2 years of relevant administrative support experience.

Knowledge, Skills and Abilities (KSAs):


  • Ability to learn new skills and software, as needed.
  • Ability to manage change and be flexible in an ever-changing and fast-paced academic environment.
  • Ability to exercise good judgment, confidentiality, and discretion in the performance of all work assignments.
  • Strong customer service skills.
  • Ability to create and meet deadlines with excellent organizational and time management skills.
  • Excellent interpersonal, written and communication skills.
  • Knowledge and use of databases and Microsoft Office.
  • Ability to develop and maintain positive working relationships with diverse audiences.


Preferred


  • Experience in academic office
  • Associate's degree
  • Knowledge of University policies and procedures.
