Job Description
Title:Administrative Assistant (80% schedule or full-time)


Reports to:Director of Finance and Administration


Exempt Salary:$43,000 annually for part-time schedule (28 hrs/wk), or $53,750 for full-time schedule (35 hrs/wk)


Location:NCLEJ’s office is located in Financial District, NYC. This position will be primarily on-site, with flexibility for some hybrid/remote work.


NCLEJ’s Mission


NCLEJ advances racial and economic justice for low-income families, individuals, and communities across the country, using groundbreaking impact litigation, policy advocacy, and support for grassroots organizing. NCLEJ works to build systems that provide economic security and full participation in society to all. Our current advocacy focuses on: (1) safeguarding access to government benefits; (2) advancing the rights of lower wage workers; (3) combating abusive debt collection and wealth extraction; and (4) advocating for disability rights and disability justice. We litigate extensively in federal and state courts across the country, typically as lead counsel in class actions, and we partner with grassroots and community-based organizations, other legal organizations, and the private bar.


Administrative Assistant’s Role


The Administrative Assistant will provide general support to NCLEJ’s small and busy staff, primarily assisting the Director of Finance and Administration and working alongside the Administrative Coordinator. We are looking for a highly organized, efficient, proactive individual who takes pride in keeping office systems running smoothly. The ideal candidate is calm, level-headed, a great problem-solver, and happy to ask questions.


This position is ideally intended as a part-time role, working a 80%-time schedule (28 hours or 4 days per week), with the potential to increase to full time. Benefits are available with the part-time and full-time schedules.


Primary Responsibilities


  • General administrative support as needed
  • Track and order office& kitchen supplies as needed
  • Communicate with building management regarding repairs/maintenance and visitor lists
  • Serve as receptionist (along with Administrative Coordinator), including answering phones and greeting visitors, checking main voicemail and email, and monitoring office calendar and staff schedules
  • Plan and organize staff events (happy hours, office lunches, etc)
  • Contribute to general office upkeep, including special projects such as assisting with décor
  • Assist with researching potential office system improvements
  • Take notes/minutes at staff and board meetings
  • Possible basic development-related tasks, including data entry and special event support
  • Assist with scheduling meetings for management team (Executive Director, Director of Finance and Administration, and Director of Litigation and Advocacy)
  • Make travel arrangements as needed


Qualifications and experience of the ideal candidate:


  • Commitment to racial and social justice and NCLEJ’s mission.  
  • Passion for organization and efficiency. An interest in creating aesthetically pleasing spaces is a plus (professional design background not necessary).
  • Ability to take initiative, be highly organized and detail-oriented, and possess strong interpersonal and time-management skills. 
  • 1-2+ years of relevant experience, ideally at nonprofit organizations.
  • Strong written and verbal communication skills.  
  • Proficiency in software including Microsoft 365 Suite (especially Word, Excel, Teams, and Outlook), Adobe Acrobat Pro, and Zoom. Additional helpful skills include experience with CRM databases.
  • Ability to work effectively with colleagues and clients from a great diversity of backgrounds.
  • Ability to work independently as well as within a team while maintaining a high level of efficiency and professionalism.
