We are currently seeking an Executive Administration to support our Seeds Global Head of Research. This position requires excellence in administrative functions. This role will require the candidate to effectively manage a demanding workload under time constraints with a calm, confident, and positive attitude. You will have the ability to work independently and trust your experience to help guide you to make independent decisions. Excellent communications skills, the ability to prioritize effectively, and handle multiple time-critical tasks simultaneously are critical skills. Being detail-oriented and having consistent and timely follow through will be essential to success in this role. This role requires complex calendaring skills and extensive travel knowledge with a pulse on the ever-changing travel environment.


Support for some of the direct reports of this executive will be required including meeting planning, travel coordination, occasional budget and expense management as well as support to other executives when they travel to RTP.


In addition, you will be involved with projects to support Seeds Research Operational Domain Leadership Team, and support planning and following up on their meetings.

Key Responsibilities


  • Make decisions about relative priority of meetings and appointments and resolves conflicts as necessary
  • Provide complex administrative support to the executives, including calendar management with attention to detail and accuracy.
  • Maintain Business Planning calendar by setting cadence of high priority meetings and events with an eye on future planning
  • Process expense reports in a timely and highly accurate manner
  • Manage domestic and international travel scheduling start to finish including contingency planning for travel interruptions or changes in business itineraries
  • Willing to work, at times, outside normal business hours /flexible hours as required by the needs of business for projects and meetings, derived from working in a multinational, multi-time zone team.
  • Manage invoices and POs as required
  • Organize meetings and conference/Teams/Zoom calls, arrange for lunches as needed
  • Independently manage end-to-end logistics for team meetings and offsites, which will include securing space (on or off-site), catering, AV needs. Periodically may include room blocks, air travel, transportation arrangements and evening activities
  • Create a pathway for smooth communication between Research teams and other internal departments; demonstrating leadership as the face of the executive team, build trust and support with senior leadership teams
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports. Coordinate special projects which may be highly confidential on behalf of the exec team. Ad hoc projects as needed.


Qualifications


  • Efficiently schedule complex meetings that will require multiple high-level participants with conflicting priorities across global time zones
  • Strong understanding of Concur for travel and expenses
  • Ability to engage with people at all levels of the organization
  • Represent the company and the executives in a positive light through great follow-through skills and sound business judgement
  • Shows initiative and ability to work unsupervised
  • Use discretion, confidentiality, and good judgment to handle executive level matters
  • Comfortable working across international time zones
  • Strong proficiency in MS Office Suite, particularly Microsoft Outlook
  • Utilize effective time management and organizational skills; proven ability to meet deadlines
  • Demonstrate and maintain a strong attention to detail
  • Strong written, oral, and interpersonal communication skills and ability to speak and write in a clear and concise manner
  • Display excellent judgment and a high level of professional etiquette
  • Ability to negotiate effectively cross functionally – influence without authority


Experience & Background


  • Undergraduate degree preferred
  • 7+ years of related experience required in working in an executive assistant role supporting C-Level executives
  • Demonstrated ability to develop trust & cross functional relationships
  • Demonstrate confidence and maturity to interface with customers, suppliers, and high-level senior executives
  • Excellent interpersonal and teamwork skills required to effectively interact with many internal and external partners and customers
