POSITION PURPOSE


The Accounts Receivable / Payable Officer is primarily responsible for supporting the Accounts Payable Officer in the AP function, and responsible for the Accounts Receivable function. Accounts Payable support functions will consist mainly of processing and payment of supplier invoices; administration of corporate credit cards including monthly reconciliation, entering and payment of employee reimbursements, and maintaining the petty cash process for the Americas retail operations. The Accounts Receivable functions will consist of following up with customers for payment, monitoring the bank account for payments, accepting payments in the system and applying them to customer invoices, and actively reviewing the A/R Aging for problematic accounts to propose credit limit holds.


Key Candidate Requirements


  • A Bachelor’s degree in Business, Accounting, Finance, Commerce or similar
  • 1-3 years relevant experience in Accounts Payable and Accounts Receivable or similar finance role
  • Tenacious and a strong sense of ownership over assigned tasks
  • Outstanding communicator and a solutions-focused problem solver
  • Proactive and organized approach to work
  • CPA Track a plus
  • Experience with NetSuite or other cloud-based ERP an advantage
  • An exceptional eye for detail, whilst working within strict timelines
  • Experience in retail an advantage
  • Strong excel skills


Main Responsibilities


Accounts Payable


The Accounts Receivable / Payable Officer will assist the Accounts Payable Officer in the following:


  • Assist colleagues with queries regarding GL coding.
  • Maintain a working knowledge of sales and use tax requirements and ensure that invoices entered into the accounting system are coded for sales and use tax accurately
  • Maintaining a well-organized and timely filing process for supplier invoices and other related documentation (including W-9s, New Supplier Forms, etc.)
  • Co-ordinate the approval of all invoices, ensuring that company policy around approval limits etc. are followed
  • Other ad-hoc Accounts Payable tasks not mentioned above, that include, but are not limited to:
  • Administer store petty cash and staff personal expense processes including monitoring approval deadlines for timely reimbursement of petty cash expenses at all retail locations
  • Monitor direct debit payments from bank accounts, ensuring they remain accurate and are amended where necessary
  • Assisting in Month and Year End by ensuring bills, credit cards reports, and personal reimbursements are entered in a timely manner
  • Perform monthly supplier reconciliations for key supplier accounts to ensure accuracy;
  • Assisting in preparation of 1099 tax forms
  • Timely and accurate entry of approved, coded, supplier invoices to the accounting system
  • Act as a point of contact to external suppliers for resolving payment queries.
  • Backup the Accounts Payable Officer in preparation of weekly payment batches, sending of remittance advice and associated summary reporting


Accounts Receivable


The Accounts Receivable / Payable Officer will be responsible for the Accounts Receivable function, which includes:


  • Regularly reviewing the A/R Aging and identifying problematic accounts
  • Raising account reconciliation issues (unreconciled invoices, credit notes, overpayments) and investigating before reporting issues to the Staff Accountant
  • Assisting in credit checks and establishment of proper credit limits (in compliance with company approval policy) with customers
  • Monitoring A/R Inbox for customer inquiries
  • Working with Business Development and Supply Chain team to resolve customer account issues
  • Coordinating with Supply Chain team for entering of credit notes
  • Depositing, entering, and applying customer payments to proper invoices in the system
  • Following up with past due customers for payment
