Wilmington College is seeking applications for the position of Academic Records Coordinator. This is a full time, non-exempt position in the Registrar's office on the main campus. The Academic Records Coordinator is responsible for managing the Registrar's CARS database as it relates to course catalog, class schedule, grading, and on-line registration. Point person for the Academic WCportal involving portal display and function as well as educating others regarding portal use. VA certifying official. Assist Student One-Stop Center with registration and drop/adds. Manage the graduation database and in-house printing of diplomas. Coordinate printing of documents associated with registration and class enrollment. Serve as a primary information point for the Office of Academic Records.


Duties And Responsibilities


  • Share responsibility for preparing mailings and proofreading with other staff.
  • For all campuses, maintain the Registrar's database for course catalogs, class schedules, and on-line registration.
  • Provide computer support to the summer freshman registration process.
  • Serve as backup coordinator for VA Benefits for all campuses and advise veterans regarding VA benefits.
  • Performs other duties as requested by the Registrar.
  • Certify athletic eligibility.
  • Daily perform computer operations including data entry and updating of student records pertaining to no-shows, probation, dismissal, suspension, and leave of absence. Also input major declaration form information, grades, and grade changes.
  • Daily perform various duties including form design and inventory, mail processing, communication regarding changes in course offerings, assistance with photocopier; etc.
  • Provide back-up support for Student One-Stop Center for Main Campus registration.
  • Compile and process Dean's Lists, Academic Merit Lists, and graduation lists for all campuses.
  • Daily answer phone, work with walk-ins, and assists individuals with general questions regarding the College and the Academic Records Office. Perform computer grade entry and management of web grade entry for Main Campus. Enter all incomplete grades and grade changes. Process all grade reports for all campuses.
  • Maintain and manage the Academic WCportal and educating others on the use of the portal.
  • Compile and manage the graduation database. Through the diploma database creates diplomas.


Qualifications


  • Good organizational skills, with ability to prioritize and to handle multiple tasks.
  • Bachelor's degree desirable; high school graduation or equivalent required plus at least two years of related experience, or equivalent combination of education and experience.
  • Evidence of accurate data entry, attention to detail, and proofreading skills.
  • Excellent customer service and communication skills.
  • Excellent computer skills, with experience using Microsoft Office and knowledge of CARS highly desirable.
