Job Description
The Department of Radiation Oncology is seeking a full-time Residency Program Coordinator. The residency program coordinator in Radiation Oncology will provide operational and administrative support of the daily operations of two residency educational programs (ACGME-Accredited Clinical Radiation Oncology and CAMPEP-Accredited Medical Physics). The individual will contribute to the strategic educational, enrollment, retention, and graduation goals of the residency programs by upholding academic integrity and collaborating in the implementation of academic policies, procedures, programs and services that foster an excellent educational experience, promote learner engagement, and support learner success. The individual will provide oversight, coordination, and leadership of educational programs for the Department of Radiation Oncology by planning, scheduling, integrating, managing, and evaluating curriculum and/or educational programs, academic standards and teaching resources. The Radiation Oncology medical residency program is ACGME-accredited and has a long history of offering exceptional training in both clinical care and research. The Radiation Oncology Medical Physics residency program is CAMPEP-accredited and has a strong national reputation and was one of the first programs of its type. The position supports the mission, vision, and values of the Department of Radiation Oncology. Some of the position responsibilities are listed below.


  • Create rotation schedules including goals and objectives that best fit the learners’ academic needs.
  • Collaborate in design of appropriate curriculum to support evolving requirements and ensure compliance with all regulatory bodies. Assist in identifying benchmarks and potential barriers for curriculum planning.
  • Develop and implement departmental in-service training programs.
  • Other:
  • Develop academic program materials.
  • Plan and coordinate detailed schedules and itineraries and associated documentation for recruitment activities such as Visiting Student/Career Days, departmental and institutional orientation sessions, and residency applicant interviews.
  • Collect residency admissions data from multiple sources; develop and maintain detailed reports for ACGME and CAMPEP accreditation organizations.
  • Maintain program website and related materials related to promotion and application processes.
  • Analyze residency program application data; develop, maintain and monitor reports to support evolving residency program goals.
  • Develop and oversee accurate residency program and departmental resource and curriculum materials and schedules. Update and incorporate changes into internal and external documents.
  • Manage medical physics course enrollments
  • Academic Standards and Curricular Policies for Residency Graduate Medical Education Programs:
  • Academic Program Management (Planning, Designing, Integrating, and Evaluating Curriculum):
  • Advise and counsel medical and physics students choosing careers in radiation oncology and medical physics.
  • Assist in identifying recurring problems that may require further evaluation.
  • Recommend revisions to residency program policies and procedures.
  • Facilitate annual departmental and external accreditation reviews and develop continuing education for residency programs.
  • Responsible for annual evaluation of program, effectiveness, and value.
  • Coordinate and manage accreditation program reviews and associated detailed documentation.
  • Recruit, Admit and Retain Prospective and Current Students for Department of Radiation Oncology Residency Education Programs:
  • Coordinate and manage recruitment activities for respective residency and physics residency graduate programs.
  • Serve as departmental resource for Continuing Medical Education.
  • Consult with and communicate admission policies and procedures to educational institutions and accreditation organizations such as ACGME and CAMPEP.
  • Develop budget proposals and oversee planning and purchases for residency program activities, events and curriculum expenses; Purchase program-approved academic materials for learners.
  • Provide administrative oversight and coordination of both educational residency programs.
  • Consult with faculty and staff concerning appropriate methods of instructions, format and student/resident evaluation.
  • Advise prospective students regarding application procedures and serve as primary point of contact for interviewees, potential recruits, current and graduated learners, while maintaining strict confidentiality; evaluate transcripts for appropriate requirements pertaining to medical physics; make decisions regarding routine exceptions and petitions for application to the program. Evaluate degree progression and provide guidance for career planning and retention. May serve as the Designated School Official (DSO) for department.
  • Develop and implement in-service training programs.
  • Develop tools and data reports to evaluate feedback for curriculum development and teaching.
  • Manage travel logistics and complex schedules for program faculty and residents.
  • Budget Oversight and Management:
  • Serve as member of departmental administrative staff to provide support and coverage as needed.

Required Qualifications


Bachelor’s Degree or equivalent combination of education and experience is required.


1-3 years’ experience related to providing administrative support to medical programs required.


Excellent Communication And Interpersonal Skills Required.


Excellent organizational skills required.


Proficiency with computer software applications such as Word, Excel, Outlook and Adobe required.


Demonstrated initiative to lead and develop programs required.


Knowledge and ability to serve as an informational resource for program candidates, residents and students is required.


Demonstrated interest in ongoing professional development is required.


Desirable Qualifications


Knowledge of University policies, procedures and regulations is desired.


1-3 years’ experience coordinating residency programs and medical clerkship programs highly desired.


Experience with planning recruitment activities and coordinating complex calendars and schedules is highly desired.


Demonstrated initiative and self motivation is desired.


Experience with creating promotional material and professional business communications is desired.


Prior experience with MedHub software is desired.


TAGME Certification is desired.
