Job Description

Summary: This position provides event support for various ASTHO hybrid and virtual events. The Virtual Event Specialist works with internal ASTHO program teams to recommend the best meeting format and ensure accurate, timely, and efficient meeting management.

Location: Remote

Anticipated salary: $63,000 Extended experience: up to $70,500 if experience exceeds expectations

Principal Functions:

  • Perform general administrative support such as updating Monday.com, PowerPoint presentations, and troubleshooting Zoom issues
  • Build and maintain event registration pages for program teams using ASTHO’s association management system
  • Quickly solve problems and make quick decisions during the production of live events
  • Work with program teams to ensure proper online registration and engagement tracking for ASTHO hybrid and virtual events
  • Schedule and manage the dress rehearsal/run-through for events
  • Knowledge of audio/visual production and editing
  • Monitor event activities to ensure compliance with ASTHO standards
  • Keep current on meeting format trends and changes to improve the quality of ASTHO’s hybrid and virtual events
  • Support hosting and logistical execution of hybrid and virtual events (webinars, webcasts, virtual conferences, hybrid learning events, other pre-recorded presentations)
  • Collaborate with Manager of Learning and Hybrid Events to develop new and innovative ways to implement and support ASTHO members
  • Ability to participate in after-hours work as needed to support events and conferences
  • Update forms and trackers that support our team’s events calendar and the OneASTHO calendar

Qualifications:

  • Excellent written and oral communication skills are essential, as well as multitasking and troubleshooting
  • Bachelor’s degree in a related field
  • Candidate must possess a strong knowledge of excel and have experience working with databases
  • Active Listening- Give full attention to what other people are saying, take time to understand the points being made and ask questions as appropriate
  • Ability to travel up to 30%
  • Strong organizational and time management skills necessary
  • 3+ years of event/meeting planning experience
  • Strong working knowledge of Zoom and other video conferencing/webinar platforms
  • Experience conducting hybrid and virtual learning events as tech host
