General Job Summary

The Vendor Management Administrator is responsible for the development, implementation, management, and all operational aspects of University Bank’s Vendor related Compliance and Third-Party Risk Management Program. This position will work closely with various managers, staff, and business leaders from all divisions of University Bank, particularly Legal, Information Technology and Security, Compliance, BSA, and Credit. The position will involve managing the overall Third Party Risk Management lifecycle, vendor compliance, risk and due diligence process, initiating Third Party Relationship related meetings with both internal and external Third Party relationship owners, collecting, reviewing, and validating vendor due diligence materials, managing the vendor related information databases, creating, and conducting training sessions both in-person and online as well as presenting Third Party data analytics to internal committees, and acting as the Third Party Relationship liaison to the business.

Summary of Essential Job Functions

  • Collecting, reviewing, and validating vendor documentation such as SOC reports, audit results, and financial reports along with other required documents to perform vendor due diligence and retain and monitor materials for ongoing updates and changes in compliance with Bank and regulatory requirements such as but not limited to FDIC, FFIEC, etc.
  • Administration of the Third Party Risk Management software and tracking systems.
  • Manage the full Third Party Relationship program and lifecycle from annual required governance, and internal policy review to ongoing vendor criticality validation, championing new relationship onboarding and approval, to incumbent reviews, and offboarding.
  • Maintain and update the Vendor Management Intranet page, and LMS trainings with all applicable materials.
  • Act as third-party relationship management liaison to Legal, Information Technology and Security, Compliance, BSA, and Credit, and other business units.
  • Communicate important third-party relationship management procedural or policy changes corporate-wide to ensure that all company employees are informed of changes.
  • Ensure the Third Party Risk Management program meets all business and regulatory requirements. Work closely with IT, CRO, Legal, and Compliance to support the program.
  • Work with internal and external relationship owners to educate, and guide staff through the Third Party Risk Management review lifecycle, including on-boarding at initiation, periodic reviews, default management, and termination activities.
  • Maintain records and clear filing system for all vendor management activities.
  • Compiling, delivery, and speaking on behalf of Third Party Risk Management related audit and exam request and preparation activities.
  • Preparation and delivery of regularly scheduled reports.
  • Produce and distribute correspondence memos, letters, and forms.
  • Work closely with internal/external relationship owners, and our Legal department to have all Third Party agreements, non-disclosure agreements, and other contract related documentation discussed, reviewed, approved, signed, and retained based on internal delegation of authority.
  • Remain current on all changes to third party risk management requirements based on notifications or input from sources such as the FDIC. Attend relevant training as needed.

Requirements:

Education, Training, and Work Experience

  • Associate degree or equivalent work experience required, college degree preferred.
  • Paralegal and/or contract administration may be beneficial.
  • Experience working in a regulated industry, such as financial services, highly preferred.
  • Two+ years of demonstrated relationship management experience preferred.
  • Experience working with legal, audit and compliance staff highly preferred.

Knowledge, Skills, and Abilities

  • Strong attention to detail and problem solving.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Excellent time management skills and the ability to multi-task productively.
  • Strong written and verbal communication skills.
  • Familiarity with applicable legal and regulatory requirements, including, but not limited to, FDIC and financial regulators policy statements and guidance regarding the outsourcing of services FFIEC Guidelines.
  • Excellent verbal, written and interpersonal communication skills.
  • High degree of accuracy and accountability.
  • Able to take ownership and work productively with others to ensure the successful completion of assignments.
  • Ability to prepare and distribute written communication in a clear and concise mannor.
  • Strong organizational and planning skills.

Working Environment

Primary working environment is within an indoor climate-controlled office space and/or a private home office or some combination which will be at managements sole discretion. Employee may be subject to florescent lighting, dust, and other normal indoor allergens. Employee may work in close proximity of coworkers and occasionally independently in quiet environments.

Physical Requirements

  • Complete repetitive tasks (including operation of computer mouse/keyboard).
  • May be exposed to extended periods of interaction with others (listening/talking/taking notes)
  • Able to lift up to 20 pounds.
  • Extended periods of sitting (at computer desk).
