Essential Job Duties
The Admin Support Specialist in this department provides admin support to the Associate Director and the Program Manager on the development and implementation of global education programs specifically COIL and the Diplomacy Initiative and provides programmatic and logistical support to an array of on-campus, hybrid, and virtual education programming designed to advance the University’s global strategy articulated in Carolina Next: Innovations for Public Good. Programming includes events, presentations, guest lectures, international and distinguished visitors, webinars, exhibits, awards, and other activities. The Admin Specialist will assist the department with coordination on program development and planning, program logistics, internal and external communications, assistance with marketing, event briefings, event coordination, scheduling, budget and expense tracking, and supporting research, and assessment as it pertains to programming pertaining to the office.
The Admin Support Specialist reports to the Associate Director and may supervise graduate or undergraduate student temp as and when directed.
Position Principal Functions:
Awards Program Management
Organizes the Department awards programs for faculty and students, in coordination with Program Manager and Unified Business Cluster. Maintains up-to-date award information on the department website. Develops, revises, and manages online applications. Assists applicants with the submission process as needed. Coordinates review and selection processes. Administers award notification and payment.
Program Management and Evaluation
Assists with planning and supports the implementation of international education programs for the department including the award-winning COIL series. Supports department staff and UNC faculty on the timing of programming throughout the academic year and maintains the calendar. Creates, implements, and supports communication of program processes in coordination with the Program Manager and leadership. Helps set timelines and manages faculty and staff activities to meet deadlines. Assists with gathering relevant data for program evaluation and reporting. Develops, tracks, and reconciles program budgets and processes program expenses in coordination with the UBC. Uses appropriate program management software and tools to work effectively. Efficiency in records management to ensure safe storage and easy retrieval of materials and files used by the team.
Program Administration
Provides overall support for initiatives in Global Partnerships and Global Education including programming, and communications. Works independently and collaboratively as part of the department team. Develops systems and checklists for ensuring program quality and consistency. Carries out program and event logistics (e.g., reserves space, issues invitations, tracks registration, arranges audio/visual and live stream services, books travel and accommodations, arranges catering). Provides staffing support for programs and events.
Communications- Marketing
Develops and assists with communications messages, marketing, outreach, and promotion for department programming, in coordination with Program Manager and Communications Manager. Drafts briefing documents, marketing messages, news stories, and other content for print, broadcast, and digital media (this includes editing web pages). Promotes department programs in presentations to prospective and current students and to faculty, for example during summer orientation programs or in scheduled classroom visits. Communicates appropriately and effectively with a variety of audiences, including students, faculty, administrators, global partners, and visiting dignitaries. Assists with other content internal and external and communications projects.
100% on-site. One remote day per week may be permitted after the person settles into position and only with permission from the supervisor.
