Job Description
The Lemuel Shattuck Hospital (LSH) is seeking a dynamic Unit Clerk to support our nursing station. As the unit clerical coordinator, you would assist in facilitating patient care on a Nursing Unit as directed by Nurse Manager/Charge Nurse. The main duties are answering the phones, routing messages, maintaining Medical Records, performing administrative duties such as typing, photocopying, faxing, data entry, etc. for their unit.

Schedule: Monday through Friday, 8am to 4:30pm.

Duties and Responsibilities (these duties are a general summary and not all inclusive):
  • Compiles admission records and labels all forms, records, and reports accurately.
  • Completes and routes Repair Requisitions to appropriate areas and maintains a log of these requests and when they have been completed.
  • Compiles in order of procedure, the patient's medical record and prepares it for closure.
  • If necessary, prints labels for collected specimens, facilitates delivery to lab, ensures timely response from lab and files results accurately.
  • Attends meetings and educational programs as assigned by Nurse Manager.
  • MRI clearance document completed by Nursing.
  • Assure completion of daily restraint forms.
  • Demonstrates sensitivity and respect for patients' cultural and religious preferences/needs.
  • Operates specialized word processing equipment to produce basic memorandums, reports, forms, etc. utilizing word processing software.
  • Setting up appointments and gathering the requested information to send patients for interventional procedures or other appointments at other hospitals.
  • Assists in filling out the daily census whenever there is an admission.
  • Arranges transportation to appointments.
  • Promotes and maintains the milieu of the nurse station environment to ensure the efficient, confidential, and effective flow of work.
  • Makes Identification (I.D.) Bracelets for patients, and replaces I.D. Cards on patients' room placard, as necessary.
  • Delivers mail to patients and personnel.
  • Demonstrates skills appropriate to the age of patients served.
  • Participates in data collection and documentation of Performance Improvement Program as directed by Nurse Manager/Charge Nurse.
  • Maintain inventories requisition oversight, and orders supplies from appropriate areas.
  • Answers telephone, records, and relays messages in a courteous and timely manner.
  • Checks and returns completed patient records to Medical Records Department.
  • Performs data input and other related duties in conjunction with Meditech system.
  • Performs clerical duties to facilitate efficient oversight of patients by coordinating activities and services which promote continuity of patient care (e.g. specialist consultations).
  • Functions as unit clerical coordinator to facilitate patient care service and further harmonious relationships with a multi-disciplinary staff and visitors in accordance with personnel and safety policies and procedures.
  • Performs other related duties as required by Nurse Manager.
  • Coordinates and prioritizes activities to accomplish work objectives.

Required Qualifications:
  • Establish and maintain harmonious working relationships and deal tactfully with others.
  • Skill in typing at a minimum of 30 words per minute.
  • Understand and apply the laws, rules, regulations, policies, and procedures governing Nursing Department.
  • Knowledge of clerical office practices and procedures including office record keeping, office correspondence control.
  • Exercise discretion in handling confidential information.
  • Work accurately with names, numbers, codes and/or symbols.
  • File material in accordance with standard filing procedures and maintain accurate records.
  • Ability to read, write and comprehend the English language, use proper grammar, punctuation. and spelling.

Preferred Qualifications:
  • Establish systems to improve overall performance of all clerical functions.
  • Highly organized and expert at time management.
  • Knowledge of the types and uses of word processing systems, equipment, software packages and applications.
  • Proven ability to organize and maintain filing systems.
  • Experienced use of medical terminology as evidenced by certificate, diploma, or demonstration via in-house test.

Lemuel Shattuck Hospital is a fully Joint Commission accredited teaching facility that provides acute, subacute, and ambulatory care to patients referred by public agencies and private sector providers. Shattuck Hospital’s services help economically and socially disadvantaged patients to get high quality, cost-effective care from a staff that respects their dignity.

Located in the heart of Boston’s Jamaica Plain neighborhood, the Shattuck Hospital includes 260 inpatient beds including 115 Psychiatric beds and 28 Correctional Health beds. In addition, the Shattuck has a full outpatient clinic with many specialties that offers treatment to patients of the Department of Mental Health as well as Department of Correction inmates and community patients. The Shattuck hospital is on the forefront of substance use disorder treatment including a Suboxone clinic serving 200 patients. In addition to direct medical services LSH hosts and supports an array of services located on the campus, serving patients struggling with addictions and homelessness.

Qualifications

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) and equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.*

  • Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
