Job Description

Target salary range: $60,000 - $70,000. The estimate displayed represents the typical salary range for this position based on experience and other factors.

Responsibilities:

  • With oversight from Supervisor, T&E & A/P, maintain and update Janus’ Business Travel Policy as needed.
  • Process approved expense reports at least weekly to be included in the check run.
  • Monitor credit card usage for compliance that purchases are travel related only.
  • Ensure travel/expense help tickets are resolved in a timely manner.
  • Review and audit expense reports daily for completeness ensuring compliance with company policies.
  • Communicate with travelers and Management for noncompliance and proactively work directly with travelers to resolve discrepancies.
  • Verify supporting documents are valid and support the amounts claimed on expense reports.
  • Serve as primary point of contact with our travel agent for web-based travel agent system (Concur) and reports available to aid in reconciling.
  • Ensure employees are properly onboarded/offboarded as it relates to travel/expense.
  • Understand and correct allowable versus unallowable charges under the FAR/FTR/JTR regulations.
  • Review travel advance requests in Costpoint in accordance with company policy
  • Track open tickets by airline and reassign to other travelers as needed.
  • Prepare travel account reconciliations for booked travel, ERs filed, corporate credit card charges, and travel reports in order to identify missing expense reports.
  • Provide support to employees on the use of Janus’ T&E system (Deltek Costpoint)
  • Track available rewards earned by the organization and assist business travelers with using them.
  • Educate users on company travel and expense policies to eliminate noncompliant behaviors.
  • Assist in the preparation and data gathering for external and internal audits.
  • Provide monthly travel related metrics to help improve compliance and performance.

Required:

  • Prefer experience with Deltek Costpoint Expense Report module, American Express @ Work reporting and coordinating with travel agents.
  • Requires a Bachelor’s degree with 5+ years’ experience as a Travel Coordinator, Travel Administrator, or Expense Report Administrator handling expense reports and travel reconciliations or similar.
  • Problem-solver with a solution-based attitude
  • Collaborative and team player with a focus on customer service
  • Familiarity with FAR/FTR/JTR regulations, including allowable and unallowable expenses.
  • Eager to provide input for process and system improvement.
  • Proficient PC skills including MS Office
  • Proactively report issues, concerns, results, etc. to Manager
  • Ability to work independently and multitask with attention to details while meeting deadlines.
