A Brief Overview


The Administrative Assistant is primarily responsible for maintaining and managing the reception area including general office duties and handling phones and onsite visitors. In addition, provides administrative support to include the processing of incoming and outgoing correspondence, assist with the maintenance of the electronic file management system, project coordination, invoice and credit card routing and processing, travel and transportation, and special projects.


Pay $18.00/hour


What You Will Do


  • Arrange meetings and conferences assuring complete information is available as required.
  • Arrange travel and coordinate transportation.
  • Responsible for ensuring common areas are maintained in a professional manner.
  • Maintain files utilizing records and document management systems.
  • Answer a multi-line phone system, direct calls, and greet visitors; when possible, respond independently and take/relay incoming messages and place outgoing calls as needed.
  • Provide administrative support and communicate effectively with all DU Employees.
  • Prepare routine correspondence and presentations from handwritten notes, dictated materials, or as directed orally.
  • Responsible for sorting, logging, and distribution of incoming communications and processing outgoing mail, this includes faxes and DU info emails.
  • Monitor and maintain office supply inventory and assist with purchasing, as necessary.


Conditions of Employment


  • Must have a valid driver's license issued by the State of Alaska. Must be eligible to work on a military installation in Alaska.
  • Must pass a pre-employment drug test, random drug test thereafter in accordance with the published policy of Doyon Utilities.
  • Eligibility to work on a military installation includes compliance with Department of Defense mandates with respect to employee background and health directives.


Qualifications


  • Knowledge of office machines including fax, copier, computer workstations, telephone system, voice mail systems
  • Must have a positive, friendly attitude and be a team player
  • Strong customer services skills.
  • Ability to maintain strict confidentiality.
  • Ability to follow direction and attention to detail
  • High School Diploma or equivalent Required
  • Strong written and verbal communication skills.
  • Proper telephone etiquette.
  • Knowledge of Microsoft Office Suite.
  • Some experience in a professional office environment. Required
  • Ability to meet and deal with the public and staff in a pleasant and courteous manner

Physical And Environmental Requirements


Office The majority of the work is performed in a professional office setting with a wide variety of people with differing functions, personalities and abilities. The work is generally sedentary, requiring routine walking, standing, bending and carrying items weighing less than 40 pounds.
