Overview:


The Affordable Specialist works alongside the Yardi Administrator, Property Management, and other inter-departmental support teams to ensure proper functionality in all aspects of the Yardi software, including regulatory interpretation, reporting and setup of day-to-day operations, and troubleshooting. Additionally, they provide support, technical guidance, and perform essential Yardi transactions to streamline workflows cross-departmentally.

PRIMARY RESPONSIBILITIES

  • Work with Community Managers or other site-level employees, Regional Managers, and Compliance to ensure timely and accurate completion of all required transactions.
  • Timely transmission of certification files to agencies via MINC and TRACs.
  • Monthly review and reconciliation of State Rental Assistance Worksheets and RD Project worksheets, including mortgages, rental assistance, and overages.
  • Interfaces with end users and appropriately escalate tickets to Yardi support.
  • Act as a troubleshooter and solutions expert to recommend changes that will streamline workflow processes and improve the timeliness and accuracy of overall program compliance.
  • Communication with Agency representatives and Contract Administrators, as needed to ensure the accuracy of all property project information.
  • Participates in the coordination of the implementation of systems with management staff, other department personnel, and outside vendors.
  • Performs other related duties as assigned.
  • Executes system and software-related requirements for acquisitions, dispositions, and new developments to ensure successful transitions.
  • Assist in the transition of software data during property acquisitions and dispositions using ETL-Exact Transform Load and Y2Y-Yardi to Yardi Conversion.
  • Maintain electronic files in an organized and accessible manner, including updating information, purging files regularly, and creating new filing systems as needed.
  • Agency program reporting setup and troubleshooting, including NAHMA/XML or other custom tenant data reporting.
  • Post all subsidy payments upon receipt.
  • Special project assistance.
  • Annual transmission of all USDA RD Budgets via MINC.
  • Updates annual income limits in the software upon agency release dates.
  • Update Compliance required forms and modify them for proper output within Yardi
  • Execute essential Yardi transactions, including unit transfers, unit mapping, and unit status changes among others.
  • Manage, track, and prioritize compliance of regulatory affordable housing data accuracy within Conifer’s Yardi property software system.•Build and foster relationships with internal and external stakeholders.
  • Documents and/or record implementation and configuration setup and steps.
  • Executes gross rent and utility allowance changes in the software within the required time frames.
  • Preparation, submission, and monitoring of all Special Claims to minimize vacancy and damages loss to properties.
  • Overseeing system updates and participating in testing, implementation of, and compliance with technology-related policies.
  • Monthly review and reconciliation of HAPs.
  • Regularly review and ensure the accuracy of all project-based, resident-specific subsidy ledgers.

EDUCATION

  • Minimum Bachelor’s Degree in Business, Operations Management, or related field.
  • Will consider a minimum of five (5) years of relatable experience in lieu of college.

Requirements:

EXPERIENCE:

  • Minimum five (5) years of experience in affordable housing management
  • Excellent computer experience in MS Office suite (Excel, Word, PowerPoint, Outlook) required.
  • Ability to keep accurate records.
  • Proven work experience in operations or similar role
  • 3+ years of experience with both front-end and back-end Yardi property management software
  • Property management software experience required, Yardi Voyager Preferred.
  • Organizational effectiveness and operations management skills required.
  • Familiarity with business and financial objectives
  • Flexibility and ability to travel locally, regionally, and interstate when required for company meetings, training, conferences, and other company-related activities.
