Job Description

Job Summary:

Reporting to the Director of Study Abroad, the Study Abroad Program Manager provides essential support related to study abroad administration and faculty-led program planning and delivery for the College. The Program Manager provides front-line advising to Barnard students on study abroad options and procedures through information sessions, one-on-one advising meetings, and e-mail and phone correspondence. The position supports the Director of Study Abroad by helping to organize and lead pre-departure orientations, helping with emergency support of students while they are abroad, and helping with re-entry support and advising. The Program Manager works in close collaboration with the Associate Provost for International Initiatives and the Director of Study Abroad to support faculty-led programs, providing crucial logistical support to faculty directors in all stages: program planning, execution, budget reconciliation, and program assessment. The Program Manager works across the College with academic departments and administrative offices, represents the College in meetings and site visits with study abroad providers and partner universities, and attends conferences and professional events.


:

Study Abroad Advising:Advise students on study abroad opportunities and support them through the application process; works with the Director to liaise with relevant College offices and departments, partner universities and programs, and scholarship programs.

  • Conduct information sessions and help support pre-departure orientations and social events for prospective and returning study abroad students.
  • Manage the petition process for students requesting to attend study abroad programs not on the approved list; participate on the Committee for Study Abroad along with the Associate Provost for International Initiatives, the Director of Study Abroad, and the Registrar's Office.
  • Communicate regularly via e-mail and other means with students studying abroad and partner universities and programs on behalf of the College; respond in a timely manner to individual e-mails from students intending or currently studying abroad
  • Provide high-level academic, professional, and personal advising to Barnard students on study abroad opportunities, taking into account academic and language requirements, as well as a student's extra-curricular and career interests.Maintain the confidentiality of student records, in particular academic and disciplinary information.

Summer Study Abroad:the Program Manager will have special responsibility for summer study abroad, a new and growing area for the office.

  • Manage the summer study abroad application cycle; ensure that programs are active and available for applications; review and approve student applications.
  • Help to plan and organize a summer pre-departure orientation in conjunction with the Director.
  • Collaborate with the Registrar and Department Chairs on issues of credit transfer for study abroad, with special responsibility for summer study abroad credit transfer.
  • Maintain and review the summer study abroad program list. Work to include summer study abroad into the program evaluation cycle, in particular the study abroad program evaluation process completed by students. Propose changes to the list to the Director and the Associate Provost for International Initiatives.

Faculty-Led Programming:Help to develop and run innovative new short-term faculty-led programming abroad, both during the summer as well as embedded programs during the academic year.Work with the Registrar and relevant offices to develop possible winter programs in January.

  • Organize and lead pre-departure orientations in conjunction with faculty directors for the students on their program.
  • Act as the liaison between faculty directors and student travel agencies such as Student Universe to book and pay for group flights to and from program destinations.
  • Coordinate student scholarship applications for faculty-led programs; work with the Associate Provost and the Faculty Committee on Internationalization on disbursing scholarship awards to students.
  • Manage the student application process through the Terra Dotta platform, support faculty in accessing the system and making admissions decisions.
  • Help to prepare financial and risk-management trainings for Barnard faculty leading programs abroad.
  • Track program budgets, work with faculty directors to reconcile their expenses and get reimbursed.
  • Work with program providers and institutions abroad to make reservations and payments for faculty-led programs.

Study Abroad Events and Outreach:

  • Help coordinate the annual study abroad fair.Reserve space, order refreshments, invite and communicate with partners.
  • Recruit returned study abroad students to join the community and hire RAs and other peer advisors in conjunction with Housing and Student Engagement and Experience.
  • Work with RAs and returned students to develop activities for a Study Abroad Living-Learning Community, including information sessions, student panels, and social events.
  • Run general information sessions and other programming on study abroad; work with partners on campus visits.

Other Study Abroad Administrative Support:

  • Provide support to the Director and the Associate Provost in managing student and program emergencies abroad; consult with Health Services, Counseling, Dean of Studies, Dean of the College, Communications, General Counsel, and the Provost as needed.
  • Represent the College at conferences and meetings.
  • Help update the Barnard Study Abroad website; create content related to study abroad and circulate through social media and list-serves.
  • Other duties as assigned
  • Train on the Terra Dotta study abroad platform and help to maintain the system.
  • Help to evaluate and monitor study abroad programs through student questionnaires, meetings with partner universities and programs, attendance at appropriate conferences, periodic site visits, and consultations with appropriate Barnard faculty members,

Skills, Qualifications & Requirements:

Knowledge, Skills & Abilities:

  • Ability to periodically travel internationally
  • Strong interpersonal, verbal, written, and organizational skills
  • In-depth knowledge of international education, in particular study abroad programming for US students
  • Experience developing and running institutional faculty-led programs
  • Knowledge of and sensitivity to the current concerns and needs of liberal arts college students
  • Significant international experience and demonstrated cross-cultural communication skills
  • Ability to relate effectively and positively to students, faculty, parents, administrators, and colleagues from diverse cultures

Qualifications:

  • Proficiency in at least one foreign language preferred
  • Minimum of 3 years experience in college or university administration
  • Advanced degree in academic field, international education, or student personnel administration preferred

Pay Range:$70,000 - $75,000 annually

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimateof the range of possible compensation at the time of posting.
