Job Description
Salary Schedule


Under general direction, the purpose of this position is to perform district-based duties associated with processing business and other operational records. Some analysis of solutions to situations is necessary to complete work; department resource for procedural direction for support staff. This position is that of a team leader or of a position that utilizes a narrowly defined area of technical expertise. Employees in this classification are responsible for receiving and responding to complaints and inquiries from the public and assisting operators and monitors with required paper work. Performs related work as directed.


Examples Of Essential Functions


Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.


Coordinates workload and schedules of clerical support staff when necessary for vacations, lunch time etc.


Performs various technical and administrative duties in supporting daily district transportation activities.


Receives and responds to public information requests, complaints or inquiries; provides resolution or directs


to appropriate entity.


Advises workgroup of departmental policies and procedures.


Provides guidance and trains employees in workgroup.


Prepare and maintain payroll reporting.


Responsible for scanning employee leaves to Personnel/Payroll in a timely manner.


Responsible for processing drivers/monitors payroll sheets (TS-25s) and entering field trip data.


Responsible for processing drivers/monitor time keeping documentation (example TS-7/3, PA-133).


Assist with coordinating a schedule for route bid activities with Transportation staff and managers.


Responsible for drivers receiving field trip notifications in a timely manner.


Prepares daily absentee list for assigned area.


Maintains budget account strips, keeping balances, reconciling monthly reports, purchase orders, invoices, for the entire department or work location.


Prepares invoices for billing customers. Analyzes vendor invoices and researches any variances.


Diagnoses, tracks and solves hardware and software problems providing technical support, as needed.


May be responsible for contacting the district’s worker's compensation offices to schedule light duty workers and coordinate the logistics.


Researches and conducts analysis of data to prepare district-level reports for the State Department of


Education and other similar entities.


Coordinates and schedules area manager meetings. Responsible for preparing packets of transportation material for each driver/monitor.


Performs less routine clerical duties as needed.


Provides backup for other staff positions within the department.


Monitors the use of the copy machine, fax machines, printers, and other office equipment; may call for routine maintenance and repairs.


May prepare travel arrangements for staff and administrators.


Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.


Operates a variety of machinery, equipment, and tools associated with department activities, which may include a typewriter, copy machine, fax, SMS, SAP, MapNet, AVL, Kronos, and other related automated work activity programs.


Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.

Minimum Training And Experience


High school diploma or GED; supplemented by up to three (3) years previous experience and/or training in an office environment, or three (3) years of experience in pupil transportation, or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions.

Data Utilization Requires the ability to calculate, compute, summate, and/or tabulate data and/or information. Includes performing subsequent actions in relation to these computational operations.

Equipment, Machinery, Tools, and Materials Utilization Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.


Verbal Aptitude Requires the ability to utilize a wide variety of reference and descriptive data and information.


Mathematical Aptitude Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.


Functional Reasoning Requires ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.


Situational Reasoning Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving evaluation of information against measurable or verifiable criteria.


ADA COMPLIANCE


Physical Ability Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.


Sensory Requirements Some tasks require visual perception and discrimination. Some tasks require oral communications ability.


Environmental Factors Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
