SUMMARY:

The School Support Specialist assists the Executive Director with planning, organizing, and implementation of high-level school projects. The School Support Specialist provides general office assistance as needed and maintains a high level of confidentiality and discretion in communications, and strong professional and ethical standards.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Essential duties and responsibilities include, but are not strictly limited to, the following:


Project Management Responsibilities:

  • Prepares/produces course syllabi for new and revised curriculum. This includes data entry, writing, editing, proofing, and checking documents for accuracy and consistency.
  • Prepares/produces faculty development materials according to established formats and guidelines, for review, approval, and final distribution.
  • Oversees troubleshooting and implementation of STARS Campus (student information system).
  • Updates and edits the academic catalog on an annual basis.
  • Develops system models for all curricula, including new programs, according to established formats and guidelines.
  • Develops and maintains a faculty handbook.
  • Plans and executes the school’s annual graduation ceremony.


Administrative Responsibilities:

Performs the following complex and confidential support functions on behalf of the Executive Director:

  • Prepares agendas and materials for meetings. As directed, participates in meetings for the purpose of taking and transcribing minutes.
  • Filters incoming mail and correspondence to determine their significance and plans their distribution.
  • Establishes, organizes, and maintains confidential files and records.
  • Prepares internal and external correspondence and memoranda from drafts, notes, or verbal instructions.
  • Makes high-level contacts of a sensitive nature inside and outside the school.
  • Coordinates business trip travel arrangements.
  • Assists Executive Director with preparation and reconciliation of expense reports and credit card transactions.

Additional administrative functions:

  • Maintains an in-depth knowledge of the school and the Corporation’s operations, policies, and procedures.
  • Prepares and submits catering requests for meetings and other events.
  • Performs other duties as assigned.
  • Creates and processes bulk mailings using mail merge.
  • Submits maintenance requests and other work orders to CB Richard Ellis.
  • Prepares purchase orders for approval process.
  • Exhibits understanding and internalization of company values: influence, respect, listen, shape, and embrace.
  • Orders and maintains supplies.


SUPERVISORY RESPONSIBILITIES:

There are no supervisory responsibilities associated with this position.


EDUCATION and/or EXPERIENCE:

Bachelor’s degree from a four-year college or university. The successful candidate will have strong research skills, excellent writing and communication skills, and be proficient in Microsoft Office Suite. The candidate must be self-motivated and able to work independently. Timely completion of tasks will be necessary. Additionally, the candidate must have an ability to manage multiple projects at once. This position requires excellent interpersonal skills, and strong problem solving and decision-making capabilities, including the ability to exercise good judgement, discretion, tact, and diplomacy.

The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, depth perception, and the ability to adjust focus.
