Job Description
The Department of Emergency Medicine (EM) is seeking at full-time (100%) Research Grants Administrator to lead research proposal and finance activities in the Department of Emergency Medicine. The Grants Administrator will help principal investigators maximize their ability to successfully compete for research grants, manage the regulatory and reporting activities for all sources of research funding, and provide financial planning for the emergency care research program. This position will be assisting in grant proposal preparation, grant submission, post-award administration, regulatory compliance, and research operational support by assuring compliance with UI and sponsor policies.
This position is eligible for a combination of on-campus and remote work. Remote work must be performed at a location within the state of Iowa and comply with the remote work program and related policies.
Key areas of responsibility include assisting with a variety of tasks, including pre-award support, post-award support, and other related administrative support for research activities. This position requires a high level of collaboration, attention to detail, accuracy, and independent judgement.
Pre - Award Support (Grants And Contracts/Clinical Trials)
  • Establish timelines to assure proposal deadlines are met; monitor progress of proposal development. Collaborate with regulatory progresses. Partner with principal investigators in interpreting sponsor and third-party guidance and regulations. Coordinate grant submissions with principal investigators and ensure accuracy of documents prior to submission.
  • Prepare and manage informational data for proposals; route all proposals for institutional approvals.
  • Collaborate with the University's Division of Sponsored Programs, and ICTS Clinical Trials Office, to review/negotiate contracts and budgets prior to University acceptance.
  • Develop budgets for federal, non-federal grant, and clinical trial submissions in collaboration with principal investigators, and ensure salary effort, institutional, and departmental costs are included.
  • Maintain records of grant and contract submissions, and follow-up to ensure progress in approval processes.
Post - award support (Grants and Contracts/Clinical Trials):
  • Ensure accuracy of records and coordinate research clinical trial billing for all departmental research studies.
  • Coordinate research staff salary sourcing activities for sponsored research, including changing sponsored effort as needed for sponsored research activities.
  • Prepare and submit post-award progress and other reports in conjunction with principal investigators.
  • Review and reconcile Grant Accounting Closeout workbook at end of funding period.
  • Maintain ongoing records for currently funded sponsored research projects, including monthly transaction verification with principal investigators. Ensure compliance with clinical trials research billing and procedures.
  • Revise budgets as needed in collaboration with principal investigators.
  • Actively monitor all research grant/contract awards and expenditures, ensuring expenditures are compliant with standards.
Administrative and other duties:
  • Contribute to periodic and special reports from University/Departmental administrators and/or granting agencies, such as reporting grants submitted and received.
  • Lead and report research finance progress at quarterly departmental research finance meeting.
  • Prepare annual department research financial report, in conjunction with departmental research leadership.
  • Demonstrate respect for all members of the University community while performing one's duties and in response to administrators, supervisors, coworkers, and customers.
  • Develop financial projections in support of research strategic planning activities, in conjunction with department research leadership.
  • Participate in departmental research leadership team meetings.
  • Maintain current records of current support for all department principal investigators and respond to internal and external requests for documentation of research activities.

Education Requirements
  • Or an equivalent combination of education and experience.
  • A Bachelor's degree in Business Administration, Accounting, Finance, or related field, or an equivalent combination of education and experience.
Experience Requirements:
  • Knowledge of and experience with contract and/or grant application processes.
  • Proficiency in computer software applications, including Microsoft Word and Excel
  • Experience managing multiple deadlines and ability to pay attention to detail.
  • Minimum of one year research support, financial analyst, or grants administrator experience (federal grants OR industry-funded research OR non-federal funded research)
  • Excellent written, verbal and interpersonal communication skills.

  • Teamwork - Collaborates with diverse individuals, including supervisors, principal investigators, and other units on campus and at other universities. Communicate appropriately with individuals inside and outside the institution. Willingness to identify resources in other departments/units.
  • The successful candidate will demonstrate excellence in the following competencies:
  • Prior experience with NIH grant processes and requirements.
  • Analytical skills - Able to structure and process data and draw insightful conclusions from it. Exhibits a probing mind. Experience using Microsoft Excel, and capacity to build financial projections.
  • Attention to detail - Able to generate error-free documents, communicated using appropriate professional communication. Does not let important details slip through the cracks.
  • Organization and planning - Ability to plan work and manage work activities independently, including a daily schedule. Ability to design, implement, and refine new organizational processes with feedback from the team. Must adhere to federal funding guidance.
  • Follow-through on commitments - Lives up to verbal and written agreements. Completes projects on time.
  • Experience working with computer programs and applications specific to grant submissions (e.g., Cayuse, eRA Commons).
