Polsinelli is looking for an experienced full-time Legal Recruiting Administrative Assistant in their Kansas City, Denver, Chicago or DC Office. Successful candidates for this position must possess 3+ years of experience in a law firm and have experience working in human resources/recruiting field is a plus. CORE RESPONSIBILITIES

  • Coordinates conference room reservations, including video conferences, across time zones.
  • Proficient in iManage Records Manager, Intapp, Carpe Diem, Chrome River, iManage 10 Work 10 system, and Microsoft programs Word, Excel, and Outlook.
  • Ability to pay attention to the minute details of a project or task (e.g., calendaring, meeting coordination, travel plans, candidate files).
  • Assists with any internet and public records searches, and monitors progress to ensure appropriate due diligence is being conducted on each candidate at the appropriate time.
  • Employees approved for flexible work arrangements are expected to be available and maintain a practice of reliable, consistent attendance at all times during the employees scheduled work shift including, but not limited to, instant message, Zoom, email and voicemail, and by phone.
  • Maintain and update candidate files in ViRecruit.
  • Comprehensive knowledge of recruiting department processes and procedures.
  • Prepares all travel documents for candidates and recruiting staff, including coordination for best options with travel services and candidates.
  • Effectively set priorities, meet deadlines, and manage multiple projects.
  • Exceptional typing skills; ability to draft and/or edit documents accurately and quickly (i.e. offer letters, meeting agendas, e-mail correspondence).
  • Handles interview scheduling and meeting appointments in ViRecruit, and updates, adjusts, and confirms as needed.
  • Other duties as assigned.
  • Assists with special projects as needed.
  • Conduct research and analyze data to prepare departmental reports and materials used in executive meetings and presentations.
  • Annually complete eight (8) hours of continued technical education through the firm’s training department.
