Job Description

Ciot is seeking a detail-oriented and proactive individual to join our team as a Purchasing Specialist. In this role, you will be responsible for handling various purchasing tasks and ensuring accurate data in our ERP system. Additionally, you will be involved in tracking import containers, managing supplier claims, and performing cost and price change analysis.


Responsibilities:


The duties include, but is not limited to, the items listed below:


  • Perform data entry of receipts, ensuring accurate and up-to-date information in the ERP system.
  • Follow up on POs, expediting orders, releasing shipments, and tracking deliveries to ensure on-time arrivals.
  • Manage the import container tracking process, including adding containers to Smartsheet, collecting and uploading invoices, packing slips, and approval photos for stone slabs, monitoring ETA information, and tracking container arrival and return.
  • Conduct cost and price change analysis as notifications are received from suppliers, ensuring pricing accuracy and competitiveness.
  • Issue special purchase orders (POs) for Montreal and Toronto trucks, ensuring timely and accurate processing.
  • Create and publish price pages for sales representatives, providing information on special items not found in the main ERP system.
  • Maintain item data integrity in the ERP system, including stock status, pricing, costs, usual suppliers, and min/max purchasing rules for stocking items.
  • Monitor and track progress of all supplier claims related to damages, shortages, and displays, ensuring timely resolution.
  • Generate and issue POs to suppliers for special order goods, maintaining clear communication and documentation.


Qualifications:


  • Proficiency in using ERP systems desired
  • General proficiency in Outlook and Word for daily communication and document management tasks.
  • Excellent communication and interpersonal skills.
  • Bachelor's degree in business administration, supply chain management, or a related field is desirable.
  • Demonstrated understanding of purchasing and logistics functions, as well as familiarity with related terminology.
  • Proficient in Excel, including advanced functions like Vlookup and Pivot Tables, to effectively analyze and manipulate data.
