Position Focus:
Having a dual report to the Chief Curator and Registrar, this position is responsible for facilitating discovery of and access to the holdings of the Yale University Art Gallery (YUAG) research archives. Major responsibilities include assessing the scope and access needs of existing curatorial and institutional archival collections, processing archival collections and creating finding aids according to national and university-wide standards, conducting oral histories, and expanding the Archives’ online presence through a variety of digital initiatives, such as social media, website content enhancement, research guides, and digitization projects. Assists with preservation activities as well as the provision of reference services and outreach programs in support of research and teaching.
Assume a variety of responsibilities related to manuscript and archival material in all formats, including selection, appraisal, arrangement and description, preservation, and access and outreach. Conduct preliminary research on and survey of archival materials, compiling and evaluating existing descriptions of the materials and of current environmental conditions in which they are housed, in preparation for a scope document that will serve as the basis for a Request for Proposal (RFP) to coordinate the physical consolidation of the YUAG research and archival collections. Processes collections in line with standard professional and university-wide guidelines, adapting as necessary to fit collection-specific needs Develop an archival inventory database and collaborate with colleagues across special collections to implement database standards. Responsible for the retrieving, reviewing, sorting, arranging, rehousing, cataloging, documenting, publishing, and returning of materials to shelves Assist all Museum staff and public researchers with inquiries requiring archival material while maintaining confidentiality Monitor trends in museum archives and records management, and make recommendations for improvements in policies and procedures Identify, collect, analyze, and communicate statistics for Archives as requested Assist with management of printed collections, as assigned. May perform other duties as assigned.
Essential Duties
1. Manages special projects ranging from academic to financial from inception to completion, which requires quantitative analysis, independent research, and the proposal of resolutions or conclusions. Creates and envisions programmatic initiatives and communication strategies. 2. Designs and develops communications strategies for special projects. Develops and exercises a keen understanding of the multiple audiences and contributing University offices involved in a given project to ensure that individual communications are rolled out within a structure planned in advance and with appropriate communication among key stakeholders. 3. Envisions, creates and authors a wide variety of sensitive and high-level written materials. Serves as coordinator and executor for a range of internal and external committees. May participate in decisions regarding committee work. Advises panelists on precedents and prior actions. 4. Serves as Secretary for committee(s), manages informal and formal resolution processes and voluminous correspondence. 5. May supervise the work of project coordinator and administrative staff. 6. Serves as liaison to other departments on all communications. 7. Contributes to design, organization, and maintenance of department website. 8. May perform other duties as assigned.
Required Education and Experience
Bachelor’s Degree in a related field and four years of related work experience or an equivalent combination of education and experience.
Required Skill/Ability 1:
Demonstrated ability working with special collections and/or archival collections. Demonstrated knowledge of archival theory and best practices in appraisal, arrangement, and description.
Required Skill/Ability 2:
Demonstrated knowledge of current national data content and structure standards related to the archival control of collection materials. Proficiency working in ArchivesSpace, with familiarity of descriptive structure standards (MARC, EAD) and tools used to create finding aids.
Required Skill/Ability 3:
Ability to manage a variety of tasks and multiple priorities. Demonstrated record of designing projects and bringing them to a conclusion in a timely fashion. Demonstrated ability with basic preservation and conservation standards for archival and manuscript collections.
Required Skill/Ability 4:
Demonstrated excellent oral, written, and interpersonal communications and analytical ability. Careful attention to detail; initiative and follow-though. Ability to work well both independently and in a collaborative environment.
Required Skill/Ability 5:
Demonstrated ability providing public services for special collections.
Preferred Education, Experience and Skills:
Master’s degree in Library and Information Science or Archival Studies. Experience working in a museum archive and familiarity with TMS preferred.
