Job Description
We are seeking a Program Support Assistant to join our team and provide administrative and operational support to our program management staff. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The Program Support Assistant will be responsible for maintaining program records, preparing reports, coordinating meetings, and providing general support to program staff as needed. The successful candidate will have excellent communication skills and the ability to work collaboratively with team members and external partners. This is an exciting opportunity to join a dynamic team and support the delivery of programs that make a difference in people's lives.


  • Prepares and modifies a variety of documents, i.e.: training/education plans, individual needs assessments, staff development plans and training certificates.
  • Handles routine tasks such as filing, data entry and setting up for trainings and ordering of training supplies, track training supplies and training expenditures.
  • Completes and carries out data entry, compiles reports and maintenance activities.
  • Works with customers to register for training, sell memberships, update records, marketing, evaluation, scheduling and more.
  • Assists with the logistics for Pre-service and monthly trainings, creating agendas and calendars and providing additional support as needed.
  • Gathers and collates information to prepare data-related reports for the training and development manager and the human resources team.
  • Performs purchases for program using agency policies and procedures.


Requirements


  • Requires one to three years of related experience. Requires a working knowledge of standard practices and procedures.
  • Ability to complete projects in a timely manner and to multi-task.
  • Some college and/or specialized training or certification in administrative work.
  • Complies a variety of reports and data information with a high degree of accuracy to support compiling and synthesizing reports.
  • Participates in communication/coordination meetings and trainings.
  • Ability to work with a diverse client population.
  • Holds a valid driver’s license.
  • Requires good interpersonal, communication, and teamwork skills.
  • Proficient using Microsoft Word, Excel, including creating and editing documents, and spreadsheets.
