Summary


:


Rocky Mountain Institute (RMI) is seeking a self-motivated and eager candidate with exceptional organizational and communication skills providing high-level administrative support for the leadership of the Strategic Operations departments of Program Services and Information Technology. Approximately 40% of time will be spent supporting the Senior Director for Program Services and 40% of time supporting the Director of Information Technology in support of all of the demanding work of the institute. The ideal candidate is able to manage competing priorities for the two senior leaders with a can-do attitude, and maintain a pleasant and professional demeanor under pressure. The person must have a proven track record handling sensitive information. This position will also spend around 20% of their work week serving as the RMI DC Office Coordinator.


This position is based in Washington DC.


Key Responsibilities


Team Support. Serves as a full member of the Strategic Operations team and right hand to the leaders of Program Services and Information Technology. Excitement about the field of sustainability and performing distinct tasks in support of the team’s work will be an essential part of the job--such as providing assistance to the Managing Director in that top-level portfolio; working with relevant systems to update and maintain accurate recordkeeping; manage weekly team meeting agendas. Strong communication skills, both verbal and written, are essential as position will be expected to help prepare and respond to a range of high level correspondence, briefings, and other meeting materials, as assigned by the [, and on her behalf as directed.


As needed may work with Trustees, volunteers, office colleagues, office visitors, and other high-level stakeholders to assist with scheduling relevant meetings and to handle all necessary post-meeting correspondence, requiring a high level of poise, professionalism, timeliness and attention to detail. Tracks communications and administrative activities within department and among direct reports to the MD. Special projects and other duties as assigned. The ideal candidate will possess the innate qualities of all RMIers with passion and a growth mindset, looking to continue building their skills in professionally.


Professional Service and Support. Provides comprehensive administrative service to Strategic Operations departmental leaders; manages files, schedules appointments; understands priorities and commitments of the executives and is able to make adjustments as seamlessly as possible, often with little advance notice; handles managesexpense reporting and documentation; screens and manages phone traffic as well as postal mail. Handles email and requests and follows up as needed. Makes and managesHandles all logistical and booking details related to domestic and complex international travel; provides solutions to unanticipated changes to travel schedules; ensures all travel logistics including lodging, transportation, etc. ensuring that scheduling and related work is virtually error free. Develops deep understanding of RMI working practices and helps provide insight and observations on organizational issues and departmental practices to the Strategic Operations leaders.


Office Support. Maintains office services by organizing office operations and procedures for the office; keeps supplies stocked, orders groceries and office meals, assists with staff relocation(s), greets visitors, assists with all-staff meeting logistics, serves as a general building/office contact, etc.


Technical and Tools Knowledge. Maintains a high level of knowledge of and facility with office tools and software including Salesforce, Office 365, Calendar functions, SharePoint, OneDrive, Excel, Word, and Macintosh. Proactively pursues improvement in skill levels. Understands the basic functioning and troubleshooting of iPhones, printers, fax equipment and other such devices.


Dependability. Can be counted on to assist with projects outside areas of primary responsibility in support of the Strategic Operations leaders and team.


Flexibility. Is able to handle unanticipated changes to schedules, plans and workloads; approaches difficult situations with a positive attitude. While this position will be assigned in support of a particular team, the role will follow the work of RMI, providing opportunities to shift to other areas, which requires individuals comfortable with a flexible approach.


Presentation. Exhibits a high level of professionalism in interaction with others. Communicates clearly and effectively verbally and in writing and has superior listening skills. Interacts with others in a professional manner. Represents RMI to the outside world, often by engaging with people at the highest levels in corporations, foundations, individual donors, government, and academic institutions.


Qualifications


  • Attention to detail and exceptional accuracy
  • Proficiency in Microsoft Outlook, Calendar functions, Sharepoint, OneDrive, Excel, Powerpoint, Word and typical contact database software
  • Strong team and interpersonal skills and the ability to work independently. Must be well-organized, flexible and enjoy the administrative challenges of supporting executive level individuals
  • Entrepreneurial spirit and skill set essential
  • Able to handle several responsibilities at a time while ensuring accuracy and attention to detail
  • Ability to interact with staff at all levels, often under pressure, remaining positive, flexible, proactive, resourceful, efficient, and managing multiple demands
  • Ability to maintain professionalism and strict confidentiality at all times
  • Can handle unanticipated changes graciously and efficiently; including changes to schedules, plans and workloads and reacts to these changes in a timely manner.
  • Experience planning domestic and international travel
  • Ability to continually develop skills related to use of rapidly changing technology and communications best practices
  • Bachelor's degree from an accredited college or university
  • Excellent written and verbal communication skills
  • Minimum three five years experience as an administrative executive assistant in a professional environment, including experience supporting a senior executive.
  • Proficiency processing transactions in an enterprise resource planning (ERP) platform such as Workday


Location    


  • We are a remote-ready company with team members around the globe. Our beautiful and welcoming offices are available for meetings or focused work, whether you are traveling through or living nearby. Our U.S. offices are in New York City; Washington DC; Oakland, California; Boulder, Colorado, and Basalt, Colorado. This role can be located from anywhere in the continental United States.

Be ready to travel for occasional in-person meetings (and of course, we cover travel costs). Some roles may require more travel, which will be discussed during the hiring process.


Compensation  


  • RMI compensates based on the level and requirements of the role. Salary within our ranges may also be determined by your education, experience, knowledge, skills, and abilities, as required by the role, as well as internal equity and alignment with market data. Typically, new Program Operations Managers join at the minimum to mid salary range of $84,000 - $102,000. You would also have an additional 10% bonus target!
