Job Description

Position Summary:

Plans and oversees office services including staffing, budgeting, administrative support and other related functions. Directly participates in departmental administrative decision making; establishes, implements, and enforces office policies and procedures, and sets workflow priorities and standards. Offers elevated support to Clinical and Medical Director as well as Assistant Directors and VP of Childrens services as need. Depending on the assigned site is directly responsible for managing insurance confirmation, authorizations and client fees across all organizational clinical sites.

Accountable and responsible for the following results:

  • Manages and oversees daily administrative Operations: Including filing, scheduling, medication refills and prioritized needs of the clinical and medical teams.
  • Provides oversight and consultation on the process of identifying clients without insurance to establish a sliding scale fee based on proof of income and other relevant documentation.
  • Maintains contact with outside vendors as needed.
  • Standardizes Workflow and Process to improve efficiency of the administrative and Clinical teams.
  • Assists and participates in special projects as they arise; providing support where needed.
  • Performs other duties as assigned.
  • Fosters Positive Relationships with internal and external referral sources as well as other community organizations.
  • Manages utilization of Available Clinic hours in order to maximize productivity and ensure timely access to services.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance, disciplining employees, addressing complaints and resolving problems.
  • Acts as a liaison between the clinic and billing departments; Establishes and maintains processes lending to accurate and increased billing as well as decreased write offs and non-billable services.
  • Manages and oversees the creation of staff schedules, including scheduling of Initial Assessment and Psychiatric Evaluations.
  • Coordinates the running and distribution of Prescribers monthly hours/timesheets in preparation for processing by the accounting department.
  • In a childrens clinic setting, all administrative staff may supervise and/or assist children in the waiting room as needed.
  • Evaluates the percentage of front-end payment collection and coordination of balance payments across sites.
  • Manages the process of identifying co-payments for commercial insurance, including establishing fee agreements and following up on payments.
  • Ensures and assesses needs for proper administrative coverage at all times, including extended evening hours and staff absences.
  • May be required to use own vehicle on company business.
  • Regular and consistent attendance is an essential function of this position.
  • Attends training sessions, workshops, seminars as requested by supervisor, or as needed for professional development, or as required for accreditation or licensing.
  • Depending on the assigned location additional responsibilities will include:
  • Manages the client finance team who are responsible for benefit eligibility, coverage verification, treatment authorizations and financial records of all clients.

  • Bachelors degree with a minimum of three years of experience including at least two years supervisory experience.
  • Must be able to handle multiple and changing priorities and have the ability to work independently with a high degree of accuracy.
  • Must have excellent typing and computer skills, ability to communicate effectively, both orally and in writing, advanced skills in organization and planning, and ability to prepare routine administrative paperwork.
