Summary:


Pine Tree Camps at Lynn University is an American Camp Association accredited day and overnight camp in Boca Raton, Florida. Pine Tree Camps offers a variety of programs for campers ages 5 to 14 ranging from traditional skill-building camps to sports camps, overnight camps, and camp counselor training programs. Essential Duties And Responsibilities


  • Order office supplies and maintain appropriate inventory.
  • Prepare and maintain various records including agenda, notices, minutes, and resolutions for meetings.
  • Create and maintain database and spreadsheet files.
  • Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings, and accompany supervisor when requested.
  • Create work orders related to office needs.
  • Provides historical reference by developing and utilizing filing and retrieval systems.
  • Maintain appointment calendar by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Compile and prepare reports and other complex documents.
  • Work independently and within a team on special nonrecurring and ongoing projects.
  • Prepare and process expenditure requests, expense reports, invoices, and reimbursement requests. Reconcile credit card statements, obtain appropriate approvals, and maintain financial records.
  • Organize programs and special events including arranging for facilities and caterer, issuing information or invitations, coordinating presenters, and monitoring event budgets and payments.
  • Other duties as assigned.
  • Prepare materials for mailings and route incoming mail using independent judgment to determine items requiring priority attention.
  • Greet guests, screen telephone calls, and answer or direct inquiries as appropriate.
  • Manage supervisor's calendar and independently schedules appointments.
  • Compose correspondence to a wide variety of internal and external parties


Required Knowledge, Skills, And Abilities


  • Excellent organizational skills, problem-solving, and follow-through.
  • Ability to keep accurate, orderly files and records.
  • Strong verbal and written communications skills with ability to compose independent correspondence and proofread letters, memos, and reports using correct rules of punctuation, grammar, and style.
  • Ability to research, gather, and organize information to produce concise reports using relational databases.
  • Basic knowledge of accounting and mathematical skills needed to perform calculations using percentages and decimals.
  • Appropriate professionalism, tact, and ability to maintain strict confidentiality in the handling of sensitive information.
  • Familiarity with modern software tools for office automation (eg. Word, Excel, PowerPoint, Outlook). Familiarity with html and internet browsers.


Minimum Qualifications


  • Must be proficient in Microsoft Office including Word, Excel and Power Point
  • Must be available for all 9 weeks of camp plus a week of camp training; 5/28/2024 – 8/2/2024
  • Bachelor's degree (B.A.) from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience
  • Work Monday to Friday, 35 – 40 hours a week
