As a Payroll Coordinator, you will serve as a key member of the Payroll Quality Assurance & Analytics Team to ensure the highest level of accuracy of client accounts. You will report to a Payroll Manager and be responsible for performing a wide variety of payroll activities including; packaging of client payrolls, maintain departments shared inbox, and perform other administrative functions.


Print Room Processing


  • Update appropriate systems of record with pertinent shipping data.
  • Accurately package client payrolls daily.
  • Assist with end of day reconciliation.


Payroll Inbox Maintenance


  • Timely address all incoming e-mails and other inter-departmental requests that are forwarded to the Payroll departments shared inbox.
  • Maintain the Payroll departments shared inbox archiving system.


Administrative Functions


  • Distribute departments incoming mail, stamp outgoing mail, and make Post Office run up to two times a week.
  • Provide support and assistance to the Payroll Services Associates as required, including; client maintenance in the case management database.
  • Complete Wage and Employment Verifications (not handled by external vendor).


Education


  • Associate’s or Bachelor’s degree or equivalent work experience.
  • Formal study in Accounting, Finance, Business Administration or similar discipline highly desirable.
  • General interest in Payroll.


Work Experience


  • Experience in fast paced customer service-oriented environment highly desirable.
  • A minimum of two years’ experience in a professional setting.

  • Computer proficiency with Microsoft Office (Word, Excel, PowerPoint) and payroll processing software.

The Payroll Specialist will be reporting to the Payroll Manager and be responsible for accurate and timely completion of input, processing and packaging of client payrolls. Client maintenance is an essential duty including entering and verifying new employees, changes and terminations. You will also respond to client inquiries on payroll processing issues and maintaining a filing of employee and client data requirements.


  • Respond to any client questions or issues related to payroll input and processing
  • 3+ years in a role handling payroll for multiple clients/locations
  • Maintain filing of employee data in appropriate filing cabinets
  • Continually upgrade knowledge and skill base related to the system and internet product, to maintain capabilities at the highest possible level. Keep current with Federal and State tax changes as they occur.
  • Perform other related duties as assigned
  • Computer proficiency, Microsoft office and other payroll software programs
  • Verify I-9 information submitted by the client for accuracy and compliance.
  • Associate’s or Bachelor’s degree and/or relevant work experience
  • Strong interpersonal and communication skills
  • PEO experience is a plus
  • Attention to accuracy and detail
  • FPC or CPP is a plus
  • Ability to work under pressure within stated deadlines
  • Utilize internal systems, internet and import files to input, process and package client payrolls accurately, while meeting internal deadlines. Maintain client quality survey scores in support of key initiatives.
  • Document processes and procedures as needed for the payroll department. Submit for approval and add to the payroll documentation folder.
  • Strong organizational, planning and time management skills
  • Ability to work independently and as part of a team
  • Accurately complete any incoming employee maintenance, ensuring all changes, new hires and terminations are completed prior to payroll processing. Key events for any employees missing information.
