Position Available


Part-Time/Full-Time Administrative Specialist (Construction Materials Testing Service Department)


Summary Of Position


The individual's primary responsibility is to take proactive steps to prevent delinquent invoices and assist with the billing process for the construction materials testing service department. Additional duties include, but are not limited to:


Responsibilities
  • Track and transfer daily field reports and paperwork to designated project managers.
  • Notify department manager(s) and project managers of any ongoing issues.
  • Requesting W9's
  • Accurately perform daily word processing data entry tasks.
  • Maintain a record on the status of delinquent invoices.
  • Assist other Administrative Assistants and receptionist in overflow, backup or emergency tasks.
  • Resolve varying stages of delinquencies through inbound and outbound collections calls and emails.
  • Review accounts receivables weekly report and prepare to meet with department manager(s) to review status of accounts.
  • Vendor and subcontractor setup
  • Help distribute monthly invoices to clients.
  • Assist with individual project/job set-up.
  • Subcontractor invoices
  • Monitor work in progress (WIP).
  • Expenses
  • Provide overall administrative support to the department through cross training duties with the department administrator, these duties may include, but are not limited to:
  • Time sheets


POSITION REQUIREMENTS And QUALIFICATIONS


  • Able to effectively communicate clearly and professionally both orally and written with managers, field personnel, clients, and others.
  • Filing experience
  • Preferred experience with collections or accounts receivable
  • Ability to work accurately and efficiently on multiple projects simultaneously.
  • Able to work with little or no direction.
  • High School Diploma or GED equivalent
  • Maintain an organized work process flow.
  • Knowledgeable in Microsoft Office Suite
  • Able to sit and stand for long periods of time.


POSITION TYPE/EXPECTED HOURS OF WORK


  • Days and hours of work are Monday through Friday 8 a.m. to 5 p.m.
  • This is a part-time to full-time position (30-40) hours per week,
