Job Description
The City of Hapeville is seeking an enthusiastic individual for a part-time role as a Customer Service Representative.


This is a non-exempt, hourly position. Rate of pay $13-$17/hour DOE


The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.


Performs customer service functions: provides information/assistance regarding taxes, sanitation bills, utility services, permit fees, water tap fees procedures, documentation, fees, or other issues on the phone or in person; distributes forms and documentation; responds to routine questions or complaints; researches problems/complaints; initiates problem resolution.


Collects and receives moneys for taxes, sanitation bills, utility services, permit fees, water tap fees, or other services: calculates appropriate fees, records transactions, and issues receipts; balances cash drawer; checks information for accuracy; posts and amends payments in computer database.


Enters financial information into department databases; updates database information; creates new spreadsheets/files; purges old data as appropriate; makes copies and distributes to appropriate parties; maintains copies in department manual files.


Ensures adherence to established policies and procedures; ensures all activities comply with local, state, and federal public regulations and requirements; assists in developing and implementing policies and procedures to maintain and improve department operations.


Maintains file system of departmental records; prepares departmental files; sorts/organizes documents to be filed; files documents in designated order; retrieves/replaces files; conducts records maintenance activities in compliance with guidelines governing record retention.


Performs general office and clerical work; answers phones; maintains filing systems; creates and types general correspondence and other office and clerical tasks.


Prepares, compiles, or completes various forms, reports, work orders, payment arrangements, adjustments, duplicate bills, corrected bills, or other documents.


Receives various forms, reports, correspondence, checks and cash, history cards, service orders, exempt forms, refund checks, cashier detail reports, account feed reports, interest and penalty reports, balance reports, ordinances, policies, procedures, manuals, directories, reference materials, or other documentation; reviews, completes, processes, forwards or retains as appropriate.


Communicates with supervisor, City employees, the general public, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.


Operates a personal computer, or other equipment as necessary to complete essential functions, to include the use word processing, spreadsheet, database, or other system software.
