Job Description

Duties

This position is located in the Office of Professional Responsibility, Office of the Chief of Police, United States Capitol Police (USCP). Incumbent performs timekeeping functions for an assigned group of employees, sworn and/or civilian. Ensures the accurate completion of employee T&A data in WorkBrain by reconciling all time worked, leave taken and additional duty worked with an approved reason.
Receives visitors and phone calls. Personally provides information requested or directs to staff members those contacts that require their attention or action. Directs callers/customers and the general public to the proper office and/or individual.
Uses personal computer/office automation systems and software, including word processing, database management, spreadsheets, and/or other software packages and programs, such as WorkBrain, Hummingbird, Award Maker, and Momentum, to prepare reports, graphs, charts, and complete forms and create correspondence, review internal and external mail received, scan documents and file appropriately, prepare archive records for storage, facilitate office supplies, and conduct various administrative support to a staff of nine sworn and civilian personnel. The employee will be required to sign and maintain a confidentiality agreement on file.
Sorts mail and correspondence and determines which items can be handled or brought to the supervisor's attention and distributes accordingly. Reviews outgoing correspondence, reports, and instructions for procedural, grammatical, and typographical accuracy.
Receives, processes, and files a full range of correspondence and police reports. Maintains files in accordance with U.S. Capitol Police (USCP) filing standards and guides, purging and retiring files based on regulation.
Incumbent prepares charts, graphs, and narrative information for management or program analysis reports from material provided by higher-level employees.

Qualifications

In order to qualify, you must meet the education and/or experience requirements described below.
For the CP-5 level you must have one year (52 weeks) of specialized experience equivalent to at least the CP-04/GS-6 level which is in or directly related to the line of work of the position to be filled and which has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position. Specialized experience is defined as experience which includes assisting in the development and/or implementation of clerical or administrative procedures for application within an organization; or selecting and arranging data and information from files and other resources for use by others in completing larger reports and projects, receiving and processing documents and data/statistical information in accordance with established procedures; reviewing documents and reports for completeness and entering information into an automated tracking system; or performing database file searches.

However, deliberate misstatements, omissions, or intentionally withholding required information at any phase of the hiring process will result in a candidate's disqualification regardless of the nature or reason for the misstatement or omission. The primary reason candidates fail a background investigation is due to deliberately withholding or omitting material facts. Providing false and/or misleading information may be grounds for removal from the application and selection process.
