Job Brief

  • The Operations team within The Studio is responsible for building and managing general business operations for The Studio, with 3 key focuses - business operations, culture & experience, and planning and programs.
  • The Studio team is a growing group within Marketing, composed of creatives, strategists, producers, and marketing managers. Our team focuses on leading the brand, telling powerful stories, and inspiring creative excellence.
Responsibilities
  • We are looking to expand the team to help us deliver on our FY24 foundational goal of operational excellence. As an Operations Manager (contract), you will be focused on 3 main areas:
  • Build, design and execute on a process and communication plan for collecting and reporting out on The Studio's performance across teams and workstreams
  • Prioritize, traffic, and support creative, content, and other requests with the Studio functional leads, their teams and cross-functional MKTG teams
  • Establish, manage and evolve the working process within The Studio and across MKTG teams
  • Partner with Studio leads and MKTG PMO to build and manage a Studio resourcing and project management model/framework within Asana; help to input and forecast future Studio resourcing needs and identify possible Studio resourcing gaps
  • Partner with Studio leads to help to establish and communicate prioritization strategy across requesters and supporting teams for consistency, efficiencies, and clarity
  • Build key cross-functional MKTG relationships to ensure the success of Studio reporting
  • Collate and report on The Studio's success across initiatives and workstreams
  • Working in partnership with our Studio Leads and the MKTG PMO, this role will be the gatekeeper to The Studio's brand, content, customer and creative resources, both intaking requests from the broader organization and also forecasting future needs and projects alongside The Studio's functional leads. This individual will be critical in ensuring that the top projects are prioritized and staffed, centrally tracked and managed, and delivered to goal. As a Studio Operations Manager, this role will be instrumental in helping to operationalize and manage key Studio workstreams, while also helping to define and evolve ways of working and processing.
  • Partner with Studio Leads and cross-functional stakeholders to establish and drive the working process for The Studio to deliver on requests, inc. Asana management; brief alignment on key deliverables, required resources, work plan, budget, and timing; driving weekly status calls and comms; etc.
  • Be a team and brand ambassador internally and with our agency partners, cultivating strong relationships to help keep the work running smoothly and efficiently
  • Partner with Studio Leads and PMO to capture, manage and prioritize Studio requests across groups; help to connect the dots strategically across all asks
  • Help to set up and manage Asana and other critical PgM tools
  • Help to evolve the intake form, define ways of working, establish process, and document best practices in partnership with the MKTG PMO
  • Partner with Studio leads to identify top metrics for each Studio team and project type
  • Partner with MKTG measurement and data owners to ensure knowledge transfer / inclusion of Studio metrics into MKTG-led initiatives e.g. website metrics; identify existing data and reporting processes in MKTG and how the Studio can partner and plug in
  • Manage the intake, prioritization, trafficking, and delivery of requests coming through the Studio intake form; escalate requests that require cross-functional alignment and strategic input from key teams/leads

Requirements
  • Proven experience working in / setting up Project Management tools, including Asana
  • General knowledge of business operations, objectives, strategies, process and information flow
  • Proven experience creating data-driven reports and communications; experience setting up, managing and working with marketing measurement tools such as Salesforce a plus
  • Excellent critical thinking skills to help solve business problems and make decisions
  • Strong written and verbal communication skills to effectively relate data and insights to peers as well as executive leadership
  • Proven experience managing multiple projects, delivering on time and on budget
  • Proven track record of building and managing cross-functional relationships
  • Excellent leadership, time management, facilitation, and organizational skills
  • 6+ years in Creative Operations, Project/Program Management or comparable roles either in-house or at an agency; experience in technology or B2B a plus
  • Deep knowledge and experience building and managing processes
Must Have
  • Proven experience creating data-driven reports and communication within marketing
  • 6+ yrs in Creative Operations, Project/Program Management or comparable roles at in-house or agency.
  • Proven experience working in/setting up Project Management tools, including Asana
  • Proven track record of building and managing cross-functional relationships.
