Office & Team Coordinator | Portsmouth, NH


We are looking for an exceptional Office & Team Coordinator in our New Hampshire office to support the growth of our firm. With offices located in San Francisco, New York, and New Hampshire, this is an opportunity to work alongside a team that is united by a passion for service, strong sense of integrity, and desire to have a positive impact in the world. Your Role


Office Coordinator


  • Assist with the management of the outdoor decks available to the offices, including furniture and appliances, utilities, winter storage, cleaning, etc.
  • Drive various project-based initiatives, including the creation and maintenance of office operational procedures
  • Assistance with office supplies ordering and replenishments, as needed, including pantries, office supplies, furniture, etc.
  • Own the relationship with building management and NH employees to ensure the ongoing operations of the offices, including ensuring the HVAC, lighting, power, water supply, appliances, carbonation, fire safety, door access, parking garage, etc., are all available daily
  • Manage the NH-based programs, including access badges (for employees, visitors, subtenants, and vendors), security alarms and cameras, parking, garage fobs, emergency preparedness, training, etc.
  • Onboard and maintain any vendor relationships for the office, including but not limited to vendors for office cleaning, furniture (purchase, delivery, and repair), utilities maintenance and repair, shredding, technology, etc.
  • Assistance with subtenant relations and communications, and the subletting of available space including showing available space, overseeing buildout and any move in/out of the space


Team Coordinator


  • Coordinate activities between internal teams
  • Timely processing of expense reimbursements for various team members
  • Take initiative in moving appointments and maximize use of time and schedule
  • Establish good relationships with team members across all offices
  • Heavy calendaring; maintain calendars: add, cancel or make changes to meetings in individual and team calendars
  • Support the execution of key projects and other special projects, as assigned
  • Resolve meeting conflicts for internal team members and business partners
  • Act as a back up to the other administrative support team as needed

Requirements And Qualifications


  • High standard of personal presentation, approachable, and demonstrates flexibility
  • Experience in an office environment is a plus, but not required
  • Able to handle multiple tasks/meet deadlines and work in a fast-paced environment
  • Proficient computer skills, including Microsoft Office Suite
  • Detail oriented with strong organizational, and time management skills
  • Desire to be on a team, work together to achieve goals and continuously improve the process
  • Ability to handle confidential information and build trust with the team
  • Bachelor's degree preferred
  • Superior service orientation with strong follow-up skills (verbal and written)
