Job Description
An office operation manager is responsible for overseeing and managing day-to-day operations of our GA office. The primary role is to ensure that the office functions efficiently and effectively to support the goals and objectives of the company.


Responsibilities


Planning and Coordination


  • Develop and implement office policies, procedures, and workflows to optimize efficiency and productivity.
  • Collaborate with department heads and team leaders to understand the needs and provide operational support.
  • Coordinate and oversee various administrative functions such as office supplies, equipment, and maintenance.
  • Plan and manage office space allocation ensuring an efficient layout and utilization of resources.


Budgeting and Financial Management


  • Analyze financial reports and provide recommendations to senior management for cost-saving opportunities.
  • Ensure compliance with financial policies and procedures.
  • Monitor expenses, review invoices, and negotiate contracts with vendors to obtain competitive prices and quality services.
  • Prepare and manage the office budget, ensuring cost-effectiveness and adherence to financial guidelines.


Communication and Relationship Building


  • Facilitate meetings, prepare agendas, and distribute minutes to ensure clear and timely communication of important information.
  • Serve as a liaison between management, employees, clients, and external stakeholders, ensuring effective communication and collaboration.
  • Build and maintain relationships with vendors, suppliers, and service providers to ensure prompt and reliable support.
