Job Description

Summary of Responsibilities:

The Office Administrator will report directly to the CEO and be responsible for overseeing all administrative functions of the company. The successful candidate will demonstrate strong organizational skills and the ability to manage a diverse range of tasks, ensuring accurate and efficient completion.

Office Administration:

  • Assist with logistics for 1-2 industry tradeshows annually.
  • Manage benefits administration, including California State Compensation Insurance Fund.
  • Provide administrative support for the CRM database.
  • File quarterly returns with the California Department of Tax and Fee Administration and the Electronic Federal Tax Payment System.
  • Maintain registrations, including SAM, California licensures, CDTFA, and others.

Bookkeeping:

  • Run payroll.
  • Create and issue 1099s for independent contractors.
  • Categorize expenses in QuickBooks.
  • Track project expenses and process invoice payments.
  • Reconcile monthly bank statements.
  • Learn and utilize the Green Yachts currency exchange platform for payment to foreign suppliers.

Special Projects:

  • Establish and manage a vendor account with the California Air Resources Board.
  • Assist in obtaining and maintaining small business designation in California.
  • Set up and administer an inbound phone system.

Website Administration:

  • Upload and format blog posts authored by Green Yachts staff.
  • Conduct research on electric boating articles and add them to the website through the backend interface.
  • Develop bio content for staff and post it on the website.

Qualifications:

  • Strong organizational skills and attention to detail, ensuring error-free execution of multiple processes.
  • Demonstrated integrity in professional environments.
  • Desire to work in a dynamic, entrepreneurial environment and contribute to a growing company.
  • Aptitude for learning and effectively utilizing new software systems.
  • Bachelor's degree is preferred but not required.
  • Demonstrated ability to develop efficient and replicable processes for new functions.
  • Willingness to continuously develop professionally, embrace feedback, and try new approaches.
  • Proficient computer skills, including word processing, spreadsheet management, and internet research.
  • Ability to work autonomously with a high degree of efficiency and effectiveness.
  • Experience with QuickBooks Online, including reconciliation, categorization, chart of accounts management, payroll, and generating management reports.
  • Experience working with accounting and CRM systems is preferred.
  • Must have citizenship, residency, or a valid work visa in the United States.

Compensation:

Compensation will be commensurate with experience. Benefits will be provided.

Position Details:

The position is full-time and remote until Green Yachts establishes a green boating marine center. At that time, in-person work will be required for some portion of the week, based on a collaborative discussion to balance business and personal needs.
