Position Details

We are seeking a qualified Office Manager for our Alexandria, Louisiana operations. This role is responsible for maintaining work flow, records management, general business administration, accounting functions, financial reporting and internal controls. Key responsibilities in this position include:


Supervise All Office Activities:

  • Provide support for Plant Manager as needed.
  • Must be a reliable resource for all admin team members.
  • Assign projects as needed.
  • Maintain cross-training of office staff.
  • Planning, organizing and monitoring all office operations and procedures to achieve defined objectives.


Maintain Financial Data:

  • Maintain records of all capital expenditures.
  • Assist in preparation of annual budget for your plant’s indirect manufacturing costs and mobile equipment leases and expenditures.
  • Process month-end physical inventories as designated by Plant Manager.
  • Responsible for coordinating quarterly physical inventory procedures.
  • Reconcile credit card statement.
  • Including AP, AR, Inventory, Sales, Production, Freight and other accruals.
  • Prepare JE’s for month-end reconciling items.
  • Monitor standards and report on variances for various labor groups, mobile equipment and energy.
  • Financial reporting for your plant.
  • Must be able to trace inventory movement and analyze for accuracy.
  • Process expense reports.
  • Coordinate month-end / year-end closing on a timely basis.
  • Monitor petty cash expenses and monthly reconciliation.
  • Coordinate periodic audit activities and compile data as needed.


Maintain Administrative and Operational Data:

  • Monitor time for temporary workers and report monthly.
  • Maintain contractor files including Certificate of Liability Insurance.
  • Compile all office correspondence.
  • Oversee preparation of events held at location.
  • Maintain calendar on SharePoint.
  • Performs other related duties as assigned.
  • Maintain records for company vehicles and mobile equipment.
  • Monitor records retention schedule.
  • Participates and contributes to company safety program.
  • Maintain inventory of office supplies and printed materials.
  • Monitor ADP timekeeping for office personnel.


Management duties include supervision of exempt and/or non-exempt staff. This includes but is not limited to, conducting performance evaluations and improvement plans, approving paid time-off (PTO), assigning or delegating work, providing on-the-job training, giving guidance to staff, taking disciplinary action, and interviewing candidates for open positions. Qualifications:

  • Education: Associate’s degree (A.A.) or equivalent from two-year college or technical school or Bachelors in Accounting in lieu of experience
  • Office management experience
  • Experience: Five years’ work experience in accounting functions, reconciling general ledger and preparation of budget.
