Full Position Salary Range $19.23 - 22.96 /hr
Hiring Range Although our full pay range is included above, the budgeted hiring range for this position is $ 19.23- $ 21.10 per hour.

: 25% on site, 75% remote
Schedule: Mon-Fri 9am to 5pm (different work hours and flexibility may be possible)

The Objective:
The Medical Records Specialist is responsible for working as part of the Compliance team to ensure PPRM patients’ medical records are handled in accordance with HIPAA (Health Insurance and Portability and Accountability Act) guidelines and state regulations.In addition, this person will be responsible for records requests, outgoing records, incoming records triage, and interacting with patients or staff who have questions regarding this process. This position engages with appropriate legal and regulatory representatives to ensure patient record requests are handled in accordance with PPRM policy, applicable law, and regulations, and according to state timelines. This position will also facilitate and implement the archival and destruction of records for PPRM’s administrative and health center staff.
Success: This role is successful when PPRM patient emails, voicemails, outside record requests and patient record requests are completed properly and timely according to regulatory requirements. Paper medical records at health centers and at offsite archival facilities are tracked, recorded and destroyed according to PPRM policy and when PPPRM patients are given access to their portals when needed and when health centers can come to you for patient portal requests if needed.
Snapshot: On a given day, this position will respond to patient and outside records requests and triage incoming medical records, ensuring they are routed to the proper provider for review. An effective and secure tracking system is essential to this position to ensure follow-up is completed and monitored. This position will determine if records can be released by reviewing requested information in accordance with HIPAA. Patient follow-up phone calls may be necessary to ensure they understand the release of records. This position will be responsible for communicating records requests and prioritizing urgent requests from physician offices.
Qualifications: Experience in medical records is preferred. Strong customer service skills and organization are essential. Project management skills and experience with developing tracking systems are preferred. Demonstrated ability to work independently and to complete requests without daily management oversight is necessary. Knowledge of medical terminology and HIPAA regulations is preferred.

Primary Areas of Responsibility/Essential Functions:

  • 2) Archival and Destruction of Records Management:
  • Send correspondence to Providers relating to requested medical record information
  • Implement policies and procedures that align with HIPAA, state laws, and other federal laws regarding the archival and destruction of paper records.
  • 1) Medical Record Releases
  • Ability to coordinate with affiliate staff to follow up on outstanding patient medical record releases
  • Validate requests and authorization for release of medical information according to established policies and procedures, and applicable laws.
  • Ensure timely destruction of paper and electronic medical records.
  • Ensure compliance with all federal and state laws related to HIPAA policies and procedures when working with client records and within NextGen
  • Maintain medical record release policies and procedures according to federal law
  • Assist patients with patient portal requests and escalate portal issues when needed
  • Collaborate with the Medical Services Department, Accounting, Clinical Quality and Risk Management Department, and Clinical Training Department.
  • Work with teams to archive any paper records at archival facility, maintain proper retention schedule
  • Provide administrative support to the Compliance Department, as needed.
  • Process and respond to medical records requests in a timely and efficient manner according to protocol.
  • 3) Support for Compliance Department
  • Manage and direct medical records voicemail and email inboxes, ensuring legal releases are confidentially passed to the correct department.
  • Consult with other department leaders about best practices for records management, retention, and destruction as it relates to compliance and risk.
  • Assist with the creation, implementation and maintenance of an effective tracking system for all records requests and releases
