Summary


The Medical Records Coordinator maintains the medical records at the Center in accordance with State and Federal Regulations. He/she maintains and organizes the medical records per professional standards of practice and per facility policy and procedures.


Essential Duties & Responsibilities


  • Process medical record requests from attorneys, patients, insurance companies, physicians, clinics, and hospitals.
  • Coordinate with external storage companies to request off-site medical records when necessary.
  • File and retrieve charts as needed to facilitate efficient record management.
  • Perform routine chart audits to ensure records are complete and accurate.
  • Accurately organize and maintain all medical records, ensuring completeness and compliance.
  • Manage special assignments and designated areas related to medical records.
  • Retrieve and file operative reports in patients' charts promptly.
  • Perform other duties as assigned.


Qualifications:


  • High school diploma or General Education Degree (GED).
  • Familiarity with basic clinical functions, administrative practices, and operational procedures in a medical setting is preferred.
  • 1-2 years of administrative experience, preferably in a medical setting.

  • Highly organized, with the ability to maintain efficient workspaces and manage workload effectively.
  • Basic mathematical skills for calculations and record management.
  • Strong attention to detail and ability to follow instructions accurately.
  • Strong customer service orientation, maintaining positive relationships with patients, vendors, and physicians while maintaining confidentiality.
  • Adaptability to change and open to new ideas and responsibilities.
  • Dependable with excellent time management skills and the ability to troubleshoot and solve daily situational problems.
  • Excellent teamwork skills, appreciating and respecting the views of team members.
  • Ability to apply common sense understanding to carry out detailed instructions.
  • Excellent written and verbal communication skills.
  • Technologically proficient, with knowledge of MS Office Suite, Outlook, and experience with AdvantX and/or EMR (Athena) software preferred.
