Job Description
Position Summary


The Medical Records Clerk maintains organization of medical records and related correspondence within the Wausau clinic and coordinates transfers of same from the Wausau location to and from satellite offices.


Principle Duties And Responsibilities


  • Faxes medical records to satellite locations as needed and assists with faxing other materials as requested
  • Distributes contents of satellite boxes safely and accurately in a three story medical facility
  • Responsible for mail handling job responsibilities, including processing and distributing incoming mail
  • Effectively scans documentation into the patient's electronic medical record, placing it into the designated document category and navigating through the record appropriately
  • Completes medical record releases in a timely manner, documenting and billing appropriately while adhering to clinic guidelines
  • Maintains professionalism through interactions with internal and external customers
  • Accurately completes all departmental tracking forms and required documentation
  • Requests medical records and responds to requests from satellite locations
  • Distribution of incoming faxes and other correspondence ensuring timely follow through
  • Responsible for pulling patient's medical records out of file and boxing them accordingly, as in deceased patients and purged patients
  • Other duties as assigned
  • Prepares UPS parcels for shipping and maintains accurate record of items mailed from the clinic
  • Tracks the movement of medical records throughout the facility by use of the PCIS tracking code system
  • Separates and/or combines medical records as appropriate
  • Locates, pulls and/or creates medical records for patient appointments and/or as requested by staff
  • Files medical records and correspondence into the medical records appropriately
  • Thinks strategically and utilizes resources to ensure records are transferred properly and accurately
  • Runs appointment lists, including appointment out guides from the PCIS computer system


Work Relationship And Scope


The Medical Records Clerk reports directly to the Business Services Manager.


Knowledge, Skills, And Abilities


  • Ability to complete tasks in a timely manner while being detailed, accurate and thorough
  • Ability to work in a fast-paced medical facility while adhering to HIPAA compliance regulations
  • Demonstrates knowledge of proper, safe, efficient usage of office equipment, computers, and software; working knowledge of Microsoft Office
  • 1-2 years customer service experience
  • High School diploma or equivalent


Work Conditions


Work is generally performed at the main clinic; 800 N. First Street, Wausau, WI. Hours of work will be dependent on the needs of the Clinic. Requires the ability to sit or stand for extended periods of time. Occasional lifting (40 pounds), bending, stooping, pushing, pulling, and climbing stairs is required.
