The Office of Administration Division of Facilities Management, Design and Construction (OA-FMDC) has a job opportunity for a Leasing Coordinator within its Real Estate Services Unit. The Real Estate Services Unit focuses on managing the leased properties and the long range space planning for statewide office space utilization and assisting all state agencies in embracing ways and methods to improve their use of office space – including “remote work” concepts and hybrids of that ideology. Our program provides space inventory data for all leased and state-owned facilities.

We are seeking a proactive team player who can apply critical thinking to space management options that can create efficiencies and cost-savings for state agencies, understand new requests for space and communicate potential scenarios and impact, coordinate advertisements for space and evaluate bids, work closely with state agencies to understand facility needs, manage current state-owned and leased space in assigned region, and analyze the current data in the assigned region to develop long-range plans for space utilization.


What you’ll do:

  • Manage facility requests from agencies, from cubicle reconfigurations to entire office renovations.
  • Review policies, rules, and legislation to ensure programmatic compliance, specifically within Chapter 34, RSMO and CSR 35-2.
  • Responsible for renewing or collapsing lease contracts as they approach renewal options or final term within the assigned region.
  • Plan and budget for state-owned and leased property in assigned region.
  • Master planning of leased and state-owned space within assigned region, to develop short and long-range goals.
  • Proactively identify and communicate to supervisor opportunities to improve the efficient use of space, such as plans for relocating leased space tenants into underutilized state owned space.
  • Utilize eBuilder to track space planning projects.
  • Maintain the Lease Management system that houses all space allocation and rent amounts for lease and state-owned facilities.
  • Write specifications for space needs, evaluate bids and coordinate posting to MissouriBUYS with the Contracts Unit.
  • Serve as a liaison between landlords and state agencies regarding facility requests or concerns.
  • Work closely with agencies and facility liaisons to determine the most appropriate use of space while ensuring that programmatic needs are met in an economical manner.
  • Visit sites to meet with local agency staff, inspect facility conditions and observe construction to ensure compliance with approved plans and lease agreements.

All you need for success:

Minimum Qualifications

  • Two or more years of professional or technical experience in the real estate industry or non-residential design work including space analysis, office and systems layouts, and/or commercial and institutional design.

Preferred Qualifications

  • Degree from an accredited four-year college or university with specialization in interior architecture, property management, business administration or closely related areas.
  • Outstanding attention to detail, analytical skills, and reporting capabilities.
  • High level of proficiency in MS Outlook, Word and Excel, experience with MS PowerPoint, Adobe Acrobat, AutoCAD and BlueBeam PDF software preferred.
  • Ability to adapt to changing priorities and complete tasks with a sense of urgency.
  • Ability to establish and maintain effective working relationships with other employees, state agency management and landlords.
  • Excellent communication, time management, and organizational skills.
  • Ability to learn new things quickly and thoroughly, and teach others.
  • Experience with planning and project management, experience with space design preferred.
  • Knowledge of property management principles and methods, materials and equipment used in the care of public buildings and grounds.
  • Understanding of continuous improvement and operational excellence concepts such as Lean Six Sigma.
  • Advanced knowledge of facility management principles and best practices.
