Job Description
General Purpose Of The Position


The purpose of this position is to have knowledge of purchase order systems, billing and asset/license management. Also, has the understanding and is familiar with the terminology used for ordering and tracking hardware and software. This individual will have strong organizational, written and verbal communication skills when working with internal team members and vendors while working in a team environment. Interacts with suppliers, to maintain pricing and delivery scheduling. Interacts with internal personnel as a liaison between supply orders and demand orders.


Supervisory Responsibilities


This position has no supervisory responsibilities.


Logistics


Essential Duties and Responsibilities :


  • Responsible for tool and material inventory during shift
  • Receive assets and ensure delivery to the correct locations and/or designee
  • Prepare parts package for Salesforce Projects
  • Create and update Return Order Forms
  • Receipt of procured IT equipment and communicating with Management and Technicians that the equipment has been received
  • Create and monitor work orders in the asset management system
  • Receive, inspect, and check in tools and materials in the inventory management system
  • General Housekeeping of work area and warehouse


Vendor Management


  • Communicate the business’ needs for ongoing technical support and upgrade protection on selected products by ensuring that warranties, maintenance, support and upgrade protection renewals are managed/handled/ordered in advance of their expiration
  • Processing return merchandise authorizations of faulty or equipment repair as necessary
  • Communicate professionally and courteously directly with suppliers in relation to order processing as required to resolve issues or discrepancies.


Asset Management


  • Maintain equipment standard catalog
  • Responsible for inventory stock replenishment, and will be accountable for managing inventory levels for desktop and laptop deployments
  • Perform periodic asset discovery and audit tasks
  • Administer the Asset Management Database and Asset Inventory in the Vault and all other locations
  • Facilitate the business’ needs for ongoing technical support and upgrade protection on selected products by ensuring that warranties, maintenance, support and upgrade protection renewals are managed/handled/ordered in advance of their expiration
  • Track all IT assets, their locations and owners including lifecycles for replacement hardware and software


Special Projects


  • Research technical hardware and software solutions as needed

  • Ability to effectively interpret and translate instructions to other employees in a professional and respectful manner
  • Document internal procedures
  • Ensure each workstation has a computer, monitor, keyboard, mouse, hard drive, and any additional specialized equipment
  • Strong interpersonal skills
  • Perform timely workstation hardware and software upgrades as required
  • Monitor and respond quickly and effectively to requests received through the IT helpdesk
  • Assist with onboarding of new users
  • Effectively communicate and understand job instructions both verbally and written
  • Modify configurations, utilities, software default settings, etc. for the local workstation
  • Install, test and configure new workstations, peripheral equipment and software
  • Self-motivated individual with proficient data entry skills and attention to detail
  • Excellent organizational skills
  • Ability to define problems, collect data, establish facts, draw valid conclusions and resolve discrepancies within job responsibilities in a reasonable amount of time
  • Troubleshoots problems using desktop remote control products where possible and documents all services provided
  • Ability to handle a wide range of warehouse related tasks

Education and Experience :


Certification: COMPTIA A+


Education/Experience: Associate Degree in related Information Technology field, or equivalent job experience for at least 1 year


Physical Demands


The data center is 24/7/365 operation. This position requires the ability to work effectively under pressure, multi-task and manage multiple projects simultaneously. This person may be required to work extended hours during peak work periods.
