Under the assigned supervisor, Case Aides I are responsible for assisting Intensive Placement Stabilization (IPS) case managers and clinicians in the preparation and maintenance of client case files to ensure they receive the comprehensive care outlined by the IPS case manager and Clinician team. The role of Case Aides extends from supporting IPS Case Managers and IPS Therapists with a variety of administrative tasks. They collaborate with Intensive Placement Stabilization (IPS) case managers and clinicians to ensure that their client’s digital tracking, files, and paperwork are aligned and meet expectations per the Department of Children and Family Services (DCFS) contractual obligations. IPS Case Aides support the streamlining of intake procedures, internal and external Continuous Quality Improvement (CQI), Counsel of Accreditation (COA), and DCFS contract reviews. IPS Case Aides are required to use independence (or work under the direction of a supervisor) when performing job tasks/providing services. IPS Case Aides are expected to actively participate in a variety of cross-functional teams, training, and performance improvement initiatives.


General Duties and Responsibilities


  • Create client files and paperwork packets to be used for client meetings by IPS case managers and clinicians.
  • Will provide exceptional customer service to parents, foster caregivers, referring case agencies, and other team members.
  • Submits expense vouchers, renewed driver's licenses, and automobile insurance coverage on the due date.
  • Will assist with updating client demographic and other data in the IPS database.
  • Reports any exposure to communicable diseases.
  • Support the creation and maintenance of programmatic information in Microsoft Teams and on the SharePoint site.
  • Will ensure weekly filing of all IPS, Mentoring, and FPSS documents in client files.
  • Direct paperwork to client files and archive files according to predetermined storage procedure with AOA and direct supervisor.
  • Reports to the Child Abuse Hotline as directed by the Mandated Reporter Act.
  • Will Maintain discretion, as they are entrusted with a client’s personal information and knowledge of their unique situation. This confidentiality extends to ensuring client data is secure.
  • Participates in frequent agency management meetings and work groups.
  • Conducts frequent regional and all-state in-person and virtual team meetings with staff, referring case agency and community partners.


Essential Duties And Responsibilities


  • Will participate in Strength based delivery of items or research
  • Will participate in weekly IPS Check-Ins with all state IPS and FPSS teams.
  • Maintain positive relationships with other agencies and community members as applicable.
  • Will participate in Attachment, Regulation, and Competency training.
  • Remain up to date on applicable document changes.
  • Position is full time with anticipated schedule 8:30 am- 5 pm or later as needed
  • Will serve as an effective problem solver. Supporting IPS case managers and clinicians with administrative tasks, while maintaining knowledge of current OHU programs and services to offer practical and timely solutions for families.
  • Will assist with transport as approved and needed for youth
  • Responsible for overseeing multiple client files at a time, ensuring information is accurate, preparing and maintaining case files, and keeping detailed records in Northern IPS offices of Kenwood, Chicago.
  • Will complete Database Data Entry for several IPS sites, per funder requirement
  • Performs other related duties as assigned.
  • Will complete several administrative tasks within IPS funder requirements
  • This position will require travel to local coverage area offices for internal and external reviews, training, and meetings.
  • Support input in the IPS database of sessions, strength-based purchases, and communications with referring case agency and DCFS contract holder.

Qualifications


Education


  • Parenting training preferred
  • High School Diploma/GED preferred


Experience


  • Proficiency in all Microsoft, Excel, and Adobe Office applications or equivalent combination of experience preferred
  • 1 years of administrative assistant experience with excellent written and verbal communication skills required


Other


  • Reliable transportation, valid driver's license and acceptable driving record with OHU required level of coverage for auto insurance required
  • DCFS background clearance required

Physical Demands & Work Environment


The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The position requires visual and auditory acuity within professionally determined normal ranges, with correction if needed; and manual dexterity sufficient to operate a computer and office equipment, including, but not limited to, the telephone, computer, and copier. The employee is occasionally required to move items up to 50 pounds.


The employee works in varied residential environments based on an assigned caseload and may encounter unpredictable clients. While performing the duties of this position, the employee travels by automobile and is exposed to changing weather conditions. The employee must be able to enter and exit a vehicle or a building without assistance. While performing the duties of this job, the employee may frequently drive an automobile, taking clients to appointments, in the local and regional areas. Occasionally, travel is outside the local area and overnight.
