ABOUT KU MEMORIAL UNION:KU Memorial Union is a 501(c)(3) nonprofit affiliate of the University of Kansas. We have three campus buildings: the historic Kansas Union, new Burge Union, and state-of-the-art DeBruce Center where the original rules of basketball are housed.KU Memorial Union serves as KU's community center and is the heart of campus. We strive to provide inviting spaces, inspiring programs, and quality facilities, services, and conveniences for the university community.


ABOUT THIS JOB: The Memorial Unions Head of Facilities is responsible in overseeing and implementing plans and policies that focus on the maintenance and physical presentation throughout the organizations facilities.These facilities consist of the Kansas Memorial Union, Burge Union and DeBruce Union.Responsible for providing an excellent customer service experience through the building operations team, in addition to inviting and clean facilities through the custodial staff.Plan and execute construction and capital improvement projects for all buildings in addition to lead a maintenance staff.Expert knowledge in the fiscal management of the facilities services areas.


SUPERVISION RECEIVED/GIVEN:Reports to the Executive Director of the KU Memorial Unions and provides direct supervision to Assistant Director of Building Services, Union Operations Manager, Custodial Manager and Maintenance Supervisor.


ESSENTIAL FUNCTIONS:

1.Cooperation:Interfaces with KU departments and Student Government to communicate needs of buildings.Takes point in student fee management and annual requests.Requires partnership and collaboration with all Union departments, with a strong line with Catering and Event Services.Maintain relationship with KU Facilities and Maintenance departments.

2.Financial Responsibility:Fiscally responsible for the Building Services departments- Plans, directs, controls, implements, evaluates, monitors, and forecasts budgets and expenses to achieve financial objectives.Manages income and expenses within budgetary considerations while meeting operational needs.Includes fiscal management of capital projects in a dynamic environment.Manages all capital expenditure and R&I funded construction projects in cooperation with campus and union partners.

3.Managing People:Leads department execution in all recruiting, onboarding, training, performance management functions for staff, following company policy and procedure. Adheres to all budgetary and KPI standards related to people and team.Leads a positive work atmosphere focused on retention and development.Communicates and explains new directives, policies, or procedures to managers; for major changes, meets with entire operations staff to explain changes, answer questions, and maintain morale.

4.Project Management:Oversees the Maintenance and Custodial departments.Take the lead to oversee construction and design projects to ensure compliance with applicable codes, regulations, architectural standards, and contractual requirements. Works with DCM on feasibility studies, PPMR, design development and construction management to ensure a successful project completion within budget.Facilitates and coordinates space improvements to include configurations, audio/visual installations, furniture and finish specifications.Implements policies and procedures that will improve day-to-day operations.Attends to innovations in facilities management, audio/visual systems and curation/collection areas

5.Business Acumen:Manages operations to provide energy efficiency to support sustainability for long term benefits while meeting critical operational requirements related to climate control, cleanliness, functional mechanical systems, life safety etc.Establishes quantitative and qualitative metrics, guidelines, and standards by which the company's efficiency and effectiveness can be evaluated; identifies opportunities for improvement.Reviews, analyzes, and evaluates business procedures to then implements policies and procedures that will improve day-to-day operations.

6.Problem Solving:Manages Building Services departments to be cost conscious and fiscally effective.This includes but is not limited to the scheduling and workload management of cross functional and multi location teams throughout the Unions facilities, specifically custodial and maintenance responsibilities.Also assists in space rental agreements.


ADDITIONAL DUTIES:

1. Serves as Burge Union liaison on behalf of the Union Director

2. Other duties as assigned


REQUIRED KNOWLEDGE, ABILITIES AND SKILLS:

1. Thorough understanding of facilities planning principles, best practices, and procedures.

2. Thorough understanding of local, state, and federal building codes, ordinances, and regulations.

3. Excellent communication skills.

4. Ability to prioritize and delegate multiple tasks and projects to ensure each is completed correctly and in a timely manner.

5.Thorough understanding of practices, theories, and policies involved in business and finance; budget creation and execution.

6. Superior verbal and written communication and interpersonal skills.

7. Superior managerial and diplomacy skills.

8. Extremely proficient in Microsoft Office Suite or related software.

9. Excellent organizational skills and attention to detail.

10. Excellent analytical, decision-making, and problem-solving skills.


REQUIREMENTS:

1. Bachelor’s degree in business, engineering, or related field

2. 10+ years experience in facilities management, project management or a similar leadership role

3. Minimum 5 years experience of building design, construction, and maintenance to maintain equipment, buildings, and other parts of the organizations facilities.

4. Experience in budget creation and execution for similar facilities to this position

5. Minimum 5 years experience with the principles, practices and methods involved in preventative maintenance, custodial services and construction.

6. Proven ability to create and execute policies and procedures while leading a team in a positive and effective manner.

7. Demonstrated ability to sustain qualities of creativity and enthusiasm in an environment of possible financial and other resource constraints.


PREFERRED QUALIFICATIONS:

1. Previous full-time work experience in a college union or higher education

2. Familiarity with the University of Kansas

3. Experience in leading a large scale renovation from funding sources to execution

4. Demonstrated skills in public related activities.


Physical Requirements:While this position is considered an executive administrative position, there will be a physical need to be on location with working teams.As our staff leadership is hands on, it may be necessary to help at large scale events and/or large set ups.

-Prolonged periods sitting at a desk and working on a computer.

-Must be able to lift up to 25 pounds at times.

-Must be able to access and inspect areas of buildings and grounds.

-Must be able to traverse all facilities in all types of weather.


Full-time employment with the Union Corporation is contingent upon satisfactory completion of a background check prior to being able to begin work.This position is eligible for an employee referral bonus.
